About the Role

We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team at AYN Immigration Services Ltd. as an Office Coordinator. In this role, you will be responsible for providing administrative support to our team and ensuring the smooth operation of our office.

Key Responsibilities
  • Event Planning: Arrange and coordinate seminars, conferences, and other events to support our business operations.
  • Minute Taking: Record and prepare minutes of meetings, seminars, and conferences to ensure accurate documentation.
  • Office Procedures: Determine and establish office procedures and routines to optimize our workflow.
  • Scheduling: Schedule and confirm appointments for our team members and clients.
  • Communication: Answer telephone calls and relay messages to our team members and clients.
  • Electronic Enquiries: Respond to electronic enquiries from clients and stakeholders.
  • Supply Management: Order office supplies and maintain inventory to ensure our office is well-stocked.
  • Customer Service: Greet clients and direct them to our team members or service areas.
  • Information Management: Set up and maintain manual and computerized information filing systems to ensure accurate record-keeping.
  • Document Preparation: Type and proofread correspondence, forms, and other documents to ensure accuracy and professionalism.
Requirements
  • Education: College or CEGEP diploma.
  • Experience: 1 year to less than 2 years of experience in an administrative role.
  • Computer Skills: Proficient in MS Office.
  • Transportation: Public transportation is available.
  • Work Term: Permanent position.
  • Work Language: English.
  • Hours: 40 hours per week.
