Position Overview

We are looking for a highly organized and proactive Executive Assistant to provide comprehensive support to the Vice President, Commercial. This role demands a dynamic individual capable of managing various administrative responsibilities while adapting to a flexible work schedule.

Key Responsibilities

  • Coordinate and manage travel arrangements, accommodations, and logistics for the Vice President, ensuring seamless travel experiences.
  • Prepare and submit expense reports for reimbursement, maintaining precise records and ensuring timely processing.
  • Assist in managing the Vice President's calendar, coordinating meetings, appointments, and events while resolving scheduling conflicts promptly.
  • Engage in a hybrid work model, with the flexibility to be present in the office approximately 50% of the time.
  • Support a modern, collaborative workspace environment.
  • Handle sensitive information with discretion and maintain confidentiality regarding executive matters and company information.
  • Act as a liaison between the Vice President and internal/external stakeholders, ensuring effective communication and relationship management.
  • Draft, proofread, and format documents and reports, ensuring accuracy and professionalism.
  • Manage and prioritize tasks and projects for the Vice President, ensuring timely completion and alignment with business objectives.
  • Conduct research and analysis on various topics as requested by the Vice President, providing insights and recommendations based on findings.
  • Utilize advanced skills in Microsoft Excel and PowerPoint to create and manage reports, presentations, and other documents.
  • Collaborate with the Inside Sales team to prepare reports, analyze data, and create presentations that support sales activities and strategic initiatives.
  • Assist in planning global and regional events such as business review meetings and trade shows.

Qualifications

  • 4-6 years of experience in an administrative or executive support role, focusing on travel coordination, expense management, and scheduling.
  • Intermediate to advanced proficiency in Microsoft Office, particularly Excel and PowerPoint.
  • Experience with data analysis, report generation, and presentation creation is essential.
  • Ability to work a flexible schedule, including in-office presence when required.
  • Strong verbal and written communication skills, with the ability to interact effectively with colleagues, vendors, and senior management.
  • Excellent organizational abilities, attention to detail, and the capacity to manage multiple tasks and priorities simultaneously.
