Position Summary:
The role involves performing essential clerical and administrative tasks such as drafting communications, scheduling meetings, and organizing both paper and electronic records. This position also includes coding and processing departmental invoices, providing information to callers, and managing the calendar of the General Counsel while updating various reports.
Key Responsibilities:
- Assist with processes such as reconciliation, preparing expense reports, invoicing, and compiling the annual budget.
- Handle incoming calls, providing information, taking messages, or directing calls to the appropriate personnel.
- Establish and maintain filing systems for both physical and digital records, correspondence, and other materials.
- Open, read, route, and distribute incoming mail and other materials; prepare responses to routine correspondence.
- Complete and route forms in accordance with company policies.
- Coordinate conferences, meetings, and travel arrangements for office staff.
- Administer departmental programs, projects, and processes as needed.
- Order and manage office supplies.
- Make copies of correspondence and other printed materials.
- Support recruitment efforts by posting job openings and coordinating interview schedules and travel for executive candidates.
- Perform Dispatch duties as assigned or required.
- Fewer than 2 years of relevant experience.
- Proficiency in Microsoft Office, particularly Excel and PowerPoint.
- Strong written and verbal communication skills.
- Excellent organizational abilities and attention to detail.
- Capability to operate office equipment such as fax machines, copiers, and phone systems; adept in using computers for various applications including spreadsheets and word processing.
- Professional demeanor and confidence to operate in a corporate environment.
