Job Summary:
The Office Administrator will play a critical role in ensuring the smooth operation of our office, providing administrative support to our team of professionals, and contributing to a positive and productive work environment. This is an exciting opportunity for a detail-oriented and organized individual to join our dynamic team and make a meaningful contribution to our success.
Key Responsibilities:
- Front Desk Reception: Greet clients and visitors with professionalism and courtesy, providing a warm and welcoming first impression of our company.
- Administrative Support: Provide administrative support to our team, including data entry, filing, and other tasks as required.
- Office Management: Maintain the organization and cleanliness of our office, including inventory and ordering of supplies.
- Communication: Facilitate effective communication between team members, clients, and external stakeholders, ensuring seamless coordination of projects and tasks.
- Regulatory Compliance: Ensure compliance with all relevant regulations, including RECO, TRESA, and FINTRAC.
- Technology: Maintain and troubleshoot office equipment and IT systems, ensuring efficient and effective use of technology.
- Event Planning: Coordinate and execute office events, including quarterly Lunch & Learn sessions and social events.
- Record Keeping: Maintain accurate and up-to-date records, including paper files and digital documentation.
- Professional Development: Stay up-to-date with industry developments and best practices, contributing to the ongoing improvement of our services and processes.
Requirements:
- Education: A degree or college diploma in Business Administration or a related field.
- Experience: A minimum of 2 years' experience in office administration and/or marketing administration within the real estate sector.
- Skills: Excellent problem-solving, organizational, and multitasking abilities, with a high degree of efficiency and attention to detail.
- Technology: Proficiency in Microsoft Office Suite and experience with MLS broker loading, website maintenance, and other relevant software.
- Communication: Exceptional communication and interpersonal skills, with comfort working in a multi-level management environment.
- Reliability: Reliable, responsible, and committed to punctuality and daily in-office presence.
