Job Title: Project Coordinator Technology Services

Job Summary:

The City of Toronto is seeking a highly skilled Project Coordinator Technology Services to join our team. As a key member of our Technology Services department, you will be responsible for coordinating and managing various projects, ensuring timely and successful delivery of projects.

Key Responsibilities:

  • Coordinate and manage projects from initiation to closure, ensuring alignment with project charters, scope management plans, risk management plans, and scheduling plans.
  • Develop and maintain project schedules using project management systems, such as Microsoft Project.
  • Prepare and monitor project budgets, taking action on issue and risk management pertaining to project expenditures.
  • Supervise and coordinate the work of project teams, including assigning tasks, monitoring performance, and motivating teams in a matrix-based work environment.
  • Develop and maintain effective consulting relationships with corporate clients and vendors, with a strong customer service orientation.
  • Prepare and present reports to stakeholders, including the Unit Manager, Project Managers, and Section Director, making recommendations on project decisions, budgets, staffing levels, and resource allocation.
  • Coordinate and facilitate the collection of business requirements and build consensus amongst clients on accomplishment of deliverables.
  • Liaise and coordinate with internal and external groups on accomplishment of deliverables.
  • Assist with the evaluation, selection, and recommendation of technical solutions and professional services, and manage vendors and contractors in the overall solution delivery process.
  • Prepare various formal contractual documents, such as Request for Information/Proposal/Quotation (RFI/P/Q), Statement Of Work (SOW), Memoranda Of Understanding (MOU), and Service Level Agreements (SLA).
  • Recruit project delivery staff and/or coordinate recruitment activities for projects.

Requirements:

  • Experience in coordination of Technology Services projects in all stages of project life cycle.
  • Experience preparing or drafting project management plans and documents, such as statement of work, project charter, Work Breakdown Structure (WBS), risk management plan, scope document, resource plan, project schedule, Options analysis, financial documents, and Request for Information/Request for Quotation/Request for Proposal (RFI/RFQ/RFP).
  • Experience working in a shared project management environment using collaborative project management tools, such as Microsoft Enterprise Project Management (EPM), is an asset.
  • Experience making presentations and negotiating with stakeholders at all levels.
  • Experience supervising staff, assigning work, monitoring performance, and motivating teams in a matrix-based work environment.
  • Experience in business and Technology Services analysis to conduct feasibility analysis and produce associated reports and recommendations.
  • Experience applying all required steps to develop and control a project schedule, including resource and duration estimation and identification of the critical path in a large, diverse computing environment.
  • Experience with various project management tools, such as Microsoft Project, and methodologies for planning and implementing work packages.
  • Experience in procurement processes, including the preparation of Requests for Proposal and Vendor Agreements/Statements of Work.
  • Demonstrated ability to develop, manage, and control a project budget.
  • Demonstrated experience in supervising and coaching internal business and technical team members on a project basis.
  • Demonstrated ability to establish and maintain an effective consulting relationship with corporate clients and vendors with a strong customer service orientation.
  • Project management professional designation, such as CAPM (Certified Associate in Project Management) or Project Management Professional (PMP), would be an asset.
