Payroll Operations Specialist

Location: Remote, USA or Canada

Position Overview:

Reporting to the Payroll Manager, the Payroll Operations Specialist plays a vital role within the organization, catering to a workforce exceeding 1,100 employees in the United States. This role entails processing and reviewing payroll on a semi-monthly and bi-weekly basis while ensuring adherence to both company policies and legislative requirements.

The Payroll Operations Specialist serves as a subject matter expert on all payroll-related processes and procedures. This position emphasizes the management of payroll operations and offers support to various departments. The role acts as a primary contact for employee inquiries and concerns regarding payroll matters. Candidates must possess comprehensive payroll experience with Dayforce (Ceridian) and demonstrate the ability to multitask and work autonomously. Integrity, meticulous attention to detail, and effective time management are essential for success in this position.

Key Responsibilities:
  • Prepare and execute full cycle payroll and all associated activities in compliance with company and regulatory standards.
  • Process irregular payments, including annual bonuses, various leave top-ups, salary continuance, commissions, and termination payments.
  • Review employee timecards for accuracy and completeness within the time and attendance system.
  • Manage garnishments and employment verification requests as necessary.
  • Oversee and reconcile employee benefits deductions and employer contributions in Dayforce.
  • Prepare and submit 401K and HSA contribution files, along with recording journal entries.
  • Communicate payroll timelines and deadlines across departments for necessary payroll input.
  • Assist in the preparation of W-2 forms and annual reconciliations.
  • Support internal and external audits, including government and third-party payroll audit requirements.
  • Maintain and update payroll documentation for all workflows and system procedures essential to US payroll operations.
  • Address employee inquiries and issues regarding payroll by researching policies and procedures, providing timely responses and resolutions.
  • Offer feedback and suggestions for process enhancements and procedural improvements to foster efficiency and continuous development.
Required Qualifications:
  • A minimum of 3 years of relevant experience in managing full cycle payroll.
  • At least 1 year of recent experience with Dayforce (Ceridian).
  • Strong understanding of payroll practices and US legislation.
  • Intermediate proficiency in Excel.
  • Highly organized and detail-oriented, with the ability to prioritize and meet tight deadlines.
  • Service-oriented with excellent verbal and written communication skills.
  • Ability to work effectively both independently and as part of a team.
  • Must handle confidential information with ethical professionalism.
  • Post-secondary education or equivalent business experience.
  • Payroll Professional designation is preferred.

Compensation: $68,000 - $73,000 annually

At PointClickCare, base salary is just one aspect of our comprehensive rewards package. The salary range for this position is $68,000 - $73,000, plus bonuses and benefits, with eligibility for overtime. Our salary ranges are determined by job level and responsibilities. Individual compensation within this range is influenced by job-related skills, relevant experience, and work location.
