About Our Opportunity

The Executive Administrative Coordinator plays a pivotal role in providing high-level administrative support to the Associate Deputy Minister and Chief of System Integration. Your contributions are vital to the effective management, coordination, and seamless operation of the office, making you an integral member of our team.

Primary Responsibilities

Your expertise will be essential in ensuring the smooth operation of administrative support functions through effective office management. Key responsibilities include:

  • Drafting and preparing confidential correspondence, reports, and presentations for senior leadership;
  • Managing and prioritizing all documents, incoming mail, inquiries, and correspondence;
  • Coordinating and overseeing schedules and calendars, as well as travel and accommodations as necessary;
  • Organizing meetings and events;
  • Driving continuous innovation and enhancements in administrative processes.

In addition to the above, you will work to ensure efficient workflow by managing various operational processes, including workflow monitoring systems and correspondence processing.

Qualifications and Experience

As the ideal candidate for the Executive Administrative Coordinator position, you have completed a one-year business course and possess five years of senior office administration or secretarial experience within a government setting. You are a self-driven individual who thrives both independently and within a team environment. Your excellent grammar, proofreading, and organizational skills, coupled with your ability to manage competing priorities, are essential for success in this role.

Strong communication skills, both written and verbal, are necessary for effectively addressing and managing client inquiries in person and over the phone. You have a proven track record of maintaining confidentiality in all your work and building relationships with various stakeholders and government levels. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint) is required, and familiarity with STAR/STOR, SuccessFactors, SAP, Ariba, and/or Flextrack systems is considered an asset.

Equivalency

An equivalent combination of training, education, and experience will be considered. Equivalencies may include but are not limited to:

  • Completion of a 2-year diploma and 3 years of related experience;
  • Completion of a related Bachelor's degree and 3 years of related experience;
  • At least 5 years of related experience.

Working Conditions

Most of your time will be spent in a comfortable office environment. The standard work week consists of 35 hours, with 7 hours per day. Occasional overtime may be required, and you may need to move or lift objects such as boxes, inventory, or files.
