Job Overview

As an Administrative Coordinator for the Cardiac Care Unit, your primary responsibility will be to provide comprehensive administrative, clerical, and receptionist support for the Telemetry unit in a professional and confidential manner. Your effective communication skills, both written and verbal, will be essential as you navigate a fast-paced and often demanding environment. This role is integral to advancing the hospital's academic mission through education, research, and innovation.

Key Responsibilities

  • Adhere to and support hospital policies and procedures.
  • Utilize customer service principles to act as a liaison for patients and their families, including registering new patients and managing phone inquiries.
  • Coordinate interdepartmental activities, such as patient transportation for tests and scheduling appointments.
  • Manage communication for healthcare professionals by screening incoming calls, relaying messages, and scheduling appointments for consultations and tests.
  • Identify and escalate issues to the Clinical Team Manager in a timely manner.
  • Compile and distribute materials related to program activities.
  • Maintain accurate attendance and time reporting, including managing relief staff and payroll input.
  • Process provider orders and notify relevant staff and departments as necessary.
  • Assist clinicians with scheduling and follow-up appointments.
  • Process requisitions and maintain documentation, ensuring follow-up on outstanding information.
  • Organize admissions, discharges, and medication information, ensuring accurate electronic records.
  • Prepare reports and discharge instructions, managing photocopying and prioritization of information.
  • Monitor and manage office supplies, ensuring adequate stock levels.

Qualifications

  • Ontario Secondary School Diploma (OSSD) or equivalent.
  • Medical office assistant certification or at least one year of relevant experience in a medical setting.
  • Familiarity with medical terminology and proficiency in medical transcription.
  • Experience with payroll and staff scheduling.
  • Commitment to patient-centered care.
  • Minimum typing speed of 45 words per minute.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Experience in a customer service role within a fast-paced environment.
  • Previous experience in an inpatient unit is preferred.
  • Bilingualism in French and English is an asset.
