Position Summary: We are seeking a Tender Coordinator/Technical Writer to enhance our expanding engineering team. Reporting directly to the Director of Business Development and technical leads, this role will concentrate on:

  • Evaluating project opportunities and crafting summaries to guide bid/no bid decisions.
  • Coordinating and developing responses to RFPs related to transmission, substations, distribution, telecommunications, surveying, or fabrication scopes.
  • Collaborating with engineering teams to edit and compose technical project reports and manuals to support project execution.

The Tender Coordinator will interact with clients, internal departments, and subject matter experts throughout all phases of the bidding process. This includes providing assistance in identifying opportunities, gathering necessary information, and formulating winning strategies and differentiators, all aimed at enhancing proposal content and ensuring a consistent brand message to our clients.

Key Responsibilities:

  • Serve as the primary point of contact with clients during the bidding process, from initial inquiries to post-bid follow-ups.
  • Identify deliverables for responses, establish submission timelines, and communicate roles and responsibilities to the response team.
  • Facilitate proposal kick-off and review meetings, track action items, and maintain communication with team members regarding deadlines and requirements.
  • Proofread proposals to ensure adherence to company standards for accuracy, quality writing, marketing focus, and branding.
  • Ensure all prepared tenders, proposals, and qualification submissions are of high quality, compliant, and effectively communicate our capabilities and service value.
  • Submit proposal responses through various systems and methods, including electronic submissions, online bid portals, email, and hard copies.
  • Assist in developing and implementing winning strategies, key messages, marketing themes, and differentiators in proposal submissions.
  • Coordinate and document Bid Debriefs and Lessons Learned for application in future submissions.
  • Create and update boilerplate documents, templates, project profiles, and team member resumes.
  • Manage documentation and distribution of client materials to the response team.
  • Maintain information in Phasor's internal systems while adhering to document control and reporting requirements.
  • Interpret and edit technical documents to ensure clear communication of calculations, modeling, and analysis. Collaborate with technical staff to resolve any ambiguities in wording and maintain the original intent of reports.

Qualifications:

  • Post-Secondary Degree in Marketing, Communications, Business, Engineering, or a combination of relevant education and experience.
  • Minimum of 2 years of experience as a Tender Coordinator or in a similar role within the Engineering or Utilities sectors.
  • Project Management experience and/or training is considered an asset.
  • Proven technical writing experience.
  • Experience working in a schedule-driven environment.
