Job Summary

We are seeking a highly skilled and experienced Executive Support Specialist to join our team at Novara Human Capital Solutions. As an Executive Support Specialist, you will provide exceptional administrative support to our senior leadership team, ensuring seamless day-to-day operations and contributing to the success of our organization.

Key Responsibilities
  • Travel Arrangements: Coordinate travel schedules, itineraries, and accommodations for senior executives, ensuring timely and efficient travel arrangements.
  • Administrative Tasks: Perform a range of administrative duties, including drafting correspondence, reports, and other documents, as well as maintaining accurate records and files.
  • Office Management: Oversee office operations, including supply management, basic bookkeeping, and ensuring a well-organized and efficient work environment.
  • Communication and Coordination: Receive and respond to incoming communications on behalf of senior executives, prioritizing tasks and summarizing information as needed.
  • Action Item Management: Delegate and follow up on action items, ensuring timely completion and effective communication with stakeholders.
  • Confidentiality and Discretion: Maintain confidentiality and handle sensitive information with discretion, upholding the trust and integrity of our organization.
  • Meeting Coordination: Arrange meetings, send invitations, and prepare agendas, ensuring seamless logistics and effective communication with attendees.
  • Documentation and Reporting: Prepare briefing notes, meeting minutes, and other documentation as required, providing senior executives with accurate and timely information.
  • Additional Duties: Perform other administrative tasks as assigned by senior executives, demonstrating flexibility and a commitment to excellence.
Requirements and Qualifications
  • Experience: A minimum of 8 years of experience in executive and administrative support, with a proven track record of providing exceptional support to senior leaders.
  • Education: Post-secondary education or technical diploma, with a strong understanding of the energy sector an asset.
  • Skills: Excellent communication, organizational, and prioritization skills, with the ability to maintain confidentiality and work in a fast-paced environment.
  • Technical Skills: Proficiency in Microsoft Office Suite or similar software, with the ability to learn new or updated software as needed.
