Job Summary:

Novara Human Capital Solutions is seeking an exceptional Executive Assistant to provide high-level administrative support to our leadership team. As an Executive Assistant, you will be responsible for delivering exceptional support, ensuring seamless day-to-day operations, and maintaining the highest level of confidentiality.

Key Responsibilities:

  • Administrative Support: Provide administrative support to the Executive team, including scheduling appointments, preparing correspondence, and maintaining records.
  • Travel Arrangements: Arrange travel and accommodations for Executives, including monitoring and executing changes to schedules as needed.
  • Clerical and Administrative Tasks: Perform clerical and administrative tasks, including drafting letters, memos, invoices, reports, and other documents for senior staff.
  • Office Management: Maintain office supplies, perform basic bookkeeping, and ensure the office is well-organized and efficient.
  • Communication and Coordination: Receive and respond to incoming communications on behalf of the Executive Director and/or other senior staff, review the contents, determine the priority, and summarize and/or distribute to the appropriate parties according to the scope of allowed authority.
  • Confidentiality and Discretion: Maintain confidential information for the business, team, and leadership, and ensure information is handled appropriately.
  • Meeting Coordination: Coordinate and send meeting invitations and agendas to attendees, book meeting rooms, and arrange for any necessary IT resources and refreshments to facilitate an efficient meeting.
  • Documentation and Reporting: Prepare briefing notes and minutes of meetings, as required, and provide Executives with documentation needed for meetings and correspondence with the business.
  • Additional Duties: Perform additional duties as assigned by Executives.

Requirements and Qualifications:

  • Experience: A minimum of 8 years of executive and administrative experience supporting senior leaders.
  • Education: Post-secondary education or technical diploma, and a strong understanding of the energy sector would be considered an asset.
  • Skills: Excellent and efficient communication skills, excellent organizational and prioritization skills, attention to detail, and time management with a proven ability to meet deadlines.
  • Confidentiality and Discretion: Able to observe and maintain the utmost confidentiality.
  • Technical Skills: Proficiency with Microsoft Office Suite or similar software, with the ability to learn new or updated software.
