Position Overview

The City of Kelowna is seeking a dedicated and detail-oriented professional to fulfill the role of Legislative Clerk. This position is essential in providing comprehensive clerical, records management, and administrative support to the Office of the City Clerk.

Key Responsibilities

  • Deliver information to the public regarding various inquiries.
  • Manage and process accounts receivable and payable transactions.
  • Create, input, update, and maintain both paper and electronic records.
  • Address records management challenges, conduct research, and propose solutions while training staff on best practices.
  • Coordinate with the Records Storage Contractor for file retrievals and archiving.
  • Oversee the lifecycle of records in accordance with established retention schedules, ensuring confidentiality and proper document destruction.
  • Enter development bylaws and maintain the City of Kelowna Bylaw records and systems.
  • Facilitate the delivery of public notices as mandated by legislation.
  • Prepare correspondence and summaries for public hearings and meetings.
  • Collect and document tenders and packages in compliance with legislative requirements.
  • Provide additional administrative and clerical support, including backup for other departmental clerks.

Qualifications

  • High school diploma or equivalent.
  • Relevant office administrative experience.

Skills and Competencies

  • Strong attention to detail.
  • Proficient in computer applications.
  • Commitment to service excellence.
  • Ability to work collaboratively in a team environment.

Physical Requirements

Regular lifting and moving of file boxes (maximum 25 lbs each) for records management purposes.
