About the College of Immigration and Citizenship Consultants

The College is the regulatory authority designated by the Government of Canada to oversee the practice of Regulated Canadian Immigration Consultants (RCICs) and Regulated International Student Immigration Advisors (RISIAs). Its responsibilities, authority, and powers are defined in the College of Immigration and Citizenship Consultants Act (Canada). The College establishes and enforces the licensing, educational, and ethical standards of the profession in the public interest.

Position Overview

JOB TITLE: Program Coordinator, PREP
Department: Professional Standards, Research, Education and Policy (PREP)
Reports to: Supervisor, Standards and Quality Management
Language Requirement: Bilingual Non-Imperative
Classification: 14-month contract

This role plays a vital part in supporting our team by providing programmatic and administrative assistance to implement, manage, and evaluate various initiatives.

Key Responsibilities
  • Process program forms and submissions, ensuring accuracy and completeness, and follow up with applicants regarding missing documents or incomplete files.
  • Address program-related inquiries, providing necessary information and updates, and escalate issues to the Supervisor as required.
  • Collaborate with Instructors, Supervisor, and other stakeholders to create and communicate program calendars and session schedules.
  • Maintain and manage the Department's program-specific databases, including the development of user guides and workflow processes.
  • Work with the supervisor and/or PREP management team to develop and report on program/project metrics and process standards to inform quality assurance.
  • Draft and distribute various written communication materials to relevant stakeholders, including emails, internal and external correspondence, forms, program schedules, purchase orders, website content, reports, and presentations.
  • Provide coordination support to the Department, including maintaining the departmental mailbox, scheduling meetings, preparing agendas, taking minutes, circulating materials, and managing the filing system.
Required Skills and Experience
  • Experience in data management, reporting, and spreadsheet analysis to provide cyclical and ad-hoc metrics, including trending and forecasting.
  • Strong time management and prioritization skills to handle conflicting demands and commitments.
  • Excellent organizational skills and attention to detail to track administrative processes and ensure documentation accuracy.
  • Interpersonal skills for effective stakeholder relationship management, representing the College as the first point of contact.
  • Adaptability to work in a fast-paced environment as a collaborative team player who demonstrates initiative.
  • Strong written and verbal communication skills for drafting communications and interacting with program applicants.
Education and Experience Requirements
  • College Diploma.
  • 1 to 3 years of experience in an administrative role.
  • Proficiency in office and administrative software.
