Role Summary
The Program Coordinator is tasked with the meticulous planning, execution, oversight, and completion of designated projects and initiatives, ensuring alignment with organizational policies and practices. This position involves leading project teams and engaging with clients and stakeholders to manage projects according to established scope, budget, and execution commitments. The ideal candidate thrives in a dynamic environment, providing effective leadership, coordination, and management to deliver successful outcomes while navigating interdependencies within a matrixed structure. A solid understanding of technical project management principles, software development lifecycles, and prevalent project management methodologies (Agile, Waterfall, Hybrid) is essential.

Key Responsibilities

  • Collaborate with business partners, sponsors, and project team members to develop project charters, work breakdown structures (WBS), project schedules, evaluation documents, communication plans, RACI matrices, and other project artifacts as necessary.
  • Provide regular project status updates on a daily, weekly, monthly, and/or quarterly basis as required.
  • Work closely with sales and solutions teams to translate client requirements into service agreements for implementation.
  • Manage the full lifecycle of a diverse range of ion8 process-oriented implementations, adhering to the appropriate methodology (waterfall, agile, or hybrid) as agreed upon with clients.
  • Conduct formal reviews with business sponsors and key stakeholders upon completion of the project scope to confirm acceptance and satisfaction.
  • Demonstrate a thorough understanding of policies, methodologies, and artifact creation that influence and guide project and change management to achieve deliverables and drive new initiatives.
  • Facilitate team iteration execution, maintain communication with management and stakeholders, and shield the team from uncontrolled work injections (ensuring changes are evaluated and intentional).
  • Maintain project and team data within the appropriate company systems and technology stack (e.g., Jira, Confluence, Trello) to support estimates, execution, and cross-functional collaboration.
  • Proactively monitor, assess, and report on project performance, collaborating with internal teams to identify enhancement opportunities; participate in regular business reviews with key client stakeholders.
  • Coordinate support requests to the relevant team members for fulfillment.
  • Organize go-live activities both internally and externally, providing support for client testing and releases as needed.
  • Prepare, review, and present technical reports and project documentation, including assisting in negotiating and modifying contracts to resolve claims and disputes.
  • Actively seek opportunities for process definition and improvement, guiding others in adhering to existing processes and contributing to their enhancement.
  • Effectively manage project accounting functions, including budget management, tracking team expenses, and minimizing project exposure and risk.
  • Flexibility to support additional and varied initiatives as required, including participation in ad hoc and special projects as directed by the organization.

Qualifications

  • Degree in a relevant field, PMP/PPM certification, and/or equivalent experience.
  • Proficiency in the Atlassian suite of products (particularly Jira and Confluence), or equivalent tools.
  • Strong business acumen in project planning and management.
  • Excellent verbal, written, and organizational skills.
  • A collaborative team player with the ability to work independently, prioritize tasks, provide and receive constructive feedback, follow directions effectively, and iterate quickly.
  • A keen interest in staying updated with the latest trends, tools, and technologies in project management.
  • Experience executing tasks with a high level of attention to detail.
