At Northern Property REIT, we are committed to enhancing the communities we serve through our dedicated management of residential properties. Our organization is a leader in the property management sector, overseeing a diverse portfolio that includes multi-residential units and commercial spaces.

We are currently seeking a Regional Administrator to support our operations in the assigned area. Reporting directly to the Regional Manager, this role is essential for ensuring the smooth administration of our property management offices while delivering outstanding service to our residents and clients.

Key Responsibilities:

  • Serve as a primary contact for team members, residents, and potential tenants, providing necessary information and assistance.
  • Manage financial transactions including purchase orders, bank deposits, electronic fund transfers, and security deposit refunds; validate utility bills and oversee ledger reconciliations.
  • Ensure that maintenance requests are prioritized and accurately entered into the management system.
  • Conduct audits of work orders to maintain service quality.
  • Maintain accurate resident files, ensuring up-to-date contact information.
  • Prepare official correspondence such as resident notifications, rent adjustments, eviction notices, and complaints.
  • Collaborate with team members in meetings focused on operational updates, health and safety, and progress reviews.
  • Prepare documentation for health and safety compliance.
  • Assist in leasing activities, including reviewing rental applications, managing unit transfers, and preparing lease agreements.
  • Perform audits related to tenant move-ins, move-outs, and deposit accounting.
  • Support the scheduling of tenant move-out appointments and conduct property inspections as needed.
  • Assist with the receivables process, including managing aged receivables and collection communications.
  • Undertake additional administrative tasks as required.

Qualifications:

  • Ability to work independently, demonstrating initiative and effective multitasking skills.
  • A minimum of three years of experience in an administrative role.
  • Experience in property management is advantageous.
  • Familiarity with Residential Tenancy Acts across various regions is beneficial.
  • Proficiency in Yardi software is essential.
  • Intermediate skills in MS Office Suite.
  • Exceptional customer service and communication abilities, along with strong analytical and problem-solving skills.
  • A collaborative team player with the capacity to work with diverse groups.
  • Ability to provide a clear criminal record check.
  • Fluency in English for all forms of communication.
