Position Summary:

We are seeking a Regional Administrator to support our Residential division. This role is essential in ensuring smooth administrative operations within the designated area. Reporting directly to the Regional Manager, the successful candidate will play a vital role in maintaining efficient property management practices while delivering outstanding service to residents and stakeholders.

Key Responsibilities:

  • Serve as a primary contact for team members, residents, and potential tenants, providing necessary information and support.
  • Manage and oversee financial transactions including purchase orders, bank deposits, and security deposit refunds; ensure accurate utility bill validations and ledger reconciliations.
  • Coordinate maintenance requests, ensuring they are prioritized and accurately logged into the property management system.
  • Conduct audits of work orders to ensure compliance and efficiency.
  • Maintain comprehensive resident files, ensuring all contact information is current and accurate.
  • Draft and prepare various office communications, including notices related to rent adjustments, evictions, and complaints.
  • Collaborate with team members in meetings focused on operational updates, health and safety, and other relevant topics.
  • Prepare documentation for health and safety compliance.
  • Assist in leasing activities, including reviewing rental applications and preparing lease agreements for new and renewing tenants.
  • Perform audits related to tenant move-ins and move-outs, ensuring accuracy in deposit accounting.
  • Support the scheduling of tenant move-out appointments and conduct property inspections as needed.
  • Assist with accounts receivable processes, including collection efforts and related filings.
  • Execute additional administrative tasks as required.

Qualifications:

  • Proven ability to work independently, demonstrating initiative and effective multitasking skills.
  • A minimum of three years of experience in an administrative role.
  • Experience within a property management environment is advantageous.
  • Familiarity with Residential Tenancy Acts across various regions is beneficial.
  • Proficiency in Yardi software is required.
  • Intermediate skills in MS Office Suite.
  • Exceptional customer service and communication abilities, along with strong analytical and problem-solving skills.
  • A collaborative mindset, capable of working with diverse teams.
  • Ability to provide a clean criminal record check.
  • Fluency in English for all forms of communication.
