Job Summary

ESSEX RESPITE CARE AND SUPPORT SERVICES is seeking an experienced Office Administrative Assistant to join our team. As an Office Administrative Assistant, you will be responsible for providing administrative support to our staff and ensuring the smooth operation of our office.

Key Responsibilities
  • Office Procedures
    • Determine and establish office procedures and routines to ensure efficient workflow and productivity.
    • Develop and implement policies and procedures to maintain a well-organized and secure office environment.
  • Scheduling and Communication
    • Schedule and confirm appointments, meetings, and events for staff members.
    • Answer and direct telephone calls, relay messages, and respond to emails in a professional and timely manner.
  • Information Management
    • Set up and maintain manual and computerized information filing systems to ensure accurate and up-to-date records.
    • Perform data entry and maintain accurate and detailed records.
  • Bookkeeping and Financial Management
    • Perform basic bookkeeping tasks, including reconciliations and financial reporting.
    • Assist with budgeting and financial planning to ensure accurate and timely financial reporting.
  • Supervision and Teamwork
    • Supervise and support a team of 3-4 staff members to ensure effective teamwork and collaboration.
    • Work closely with staff members to resolve issues and provide guidance and support as needed.
Requirements
  • Education: College, CEGEP or other non-university certificate or diploma from a program of 1 year to 2 years.
  • Experience: 1 to less than 7 months of experience in an administrative role.
  • Language: English.
  • Hours: 30 hours per week.
