TOTEM recruteur de talent is seeking a dedicated Billing and Administrative Agent for a healthcare institution. This is a temporary position of approximately 6 months with a strong possibility of permanent employment.



Responsibilities:
  • Manage billing processes for contributions made by housed adults to users, ensuring accuracy and compliance with regulations.
  • Reconcile billing records with various reports, including accommodation contribution vouchers issued by RAMQ.
  • Adjust user accommodation contributions and validate their accuracy against RAMQ decision notices.
  • Prepare and send invoices, account statements, and other financial documents to users, financial representatives, and third-party payers.
  • Provide support to users or their representatives in completing account settlement documents, including exemption requests.
  • Transfer trust account balances to the operating fund, ensuring proper accounting procedures are followed.
  • Process billing for auxiliary products and services, advances from user accounts, and personal expenses within trust accounts, while maintaining accurate supplier records.
  • Manage account statement mailings based on different account types, ensuring timely and accurate distribution.
  • Make disbursements to the Public Curator from user accounts, adhering to established guidelines.
  • Communicate effectively with users and stakeholders via email and phone to obtain information, documents, and payments.
  • Record qualitative and quantitative data in a Financial Resource Management (FRM) system, maintaining accurate financial records.
  • Allocate credits and payments to invoices, ensuring proper reconciliation of accounts.
  • Issue annual tax receipts for accommodation, complying with relevant tax regulations.
  • Apply internal controls related to financial management, safeguarding assets and ensuring compliance.
  • Organize daily, weekly, and monthly tasks, prioritizing workload and ensuring timely completion.
Qualifications:
  • DEC or equivalent relevant training in accounting, administration, or a related field.
  • Proficiency in Microsoft Office Suite.
  • Ability to adapt quickly to new information and work independently.
  • Strong team player with a commitment to long-term collaboration.
  • Excellent communication skills, demonstrating rapport and willingness to ask questions.
  • Fluency in French, as communication primarily occurs in this language.
  • Knowledge of English or other languages is an asset but not required.
