Position Overview:

We are currently seeking applications for the role of Administrative Assistant within IGM Technology. This position entails providing essential support to IGM Technology executives. The successful candidate will be responsible for:

  • Managing executive calendars
  • Coordinating all facets of meeting logistics, including securing meeting spaces, ensuring audio/visual connectivity, and preparing and distributing presentations
  • Processing and coordinating invoice payments
  • Supporting departmental onboarding and offboarding processes, including workstation allocation, hardware/software requests, updating distribution lists, and managing access cards
  • Arranging travel logistics and preparing expense reports
  • Organizing team meetings
  • Performing general administrative tasks, such as drafting reports and presentations, photocopying, and scanning
  • Assisting teams with tasks to meet deadlines
  • Creating spreadsheets, analyzing data, and developing presentations in PowerPoint
  • Maintaining filing systems as we transition to a paper-free environment
  • Ordering and managing office supplies and equipment maintenance
  • Testing internal controls and documenting procedures
  • Maintaining time reporting systems as required
  • Executing general accounting and administrative duties as necessary
  • Assisting with departmental social events and town halls
  • Collaborating with other administrative team members as needed

Required Qualifications:

  • A minimum of 3+ years' experience in an administrative support role
  • Excellent verbal and written communication skills, with strong interpersonal abilities to engage with individuals at all organizational levels
  • Proficiency in MS Office applications (Microsoft Word, Outlook, Excel, PowerPoint, SharePoint) at an intermediate to advanced level
  • Familiarity with collaborative communication tools such as Microsoft Teams
  • Strong technology skills and digital proficiency, supporting paper-free environments and facilitating team collaboration
  • Ability to handle confidential information with professionalism
  • Detail-oriented with the capacity to perform effectively in a fast-paced setting
  • Exceptional organizational, planning, and prioritization skills
  • Ability to manage multiple projects simultaneously and prioritize effectively
  • Capability to work independently as well as collaboratively within a team
  • Strong attention to detail and ability to manage tight deadlines
