Job Summary

We are seeking an experienced Administrative Assistant to join our IGM Technology team. The successful candidate will provide administrative support to our executives, ensuring the smooth operation of our team's activities.

Key Responsibilities

  • Manage calendars and coordinate meeting logistics, including securing meeting rooms and audio/visual connectivity.
  • Process and coordinate invoice payments, and provide departmental support for onboarding and offboarding staff and contractors.
  • Coordinate travel arrangements and prepare expense reports.
  • Organize team meetings and provide general administrative duties, such as drafting reports and presentations.
  • Support the team by performing tasks as required to meet deadlines.
  • Prepare spreadsheets, analyze data, and create presentations in PowerPoint.
  • Maintain filing systems and order office supplies.
  • Test internal controls and document procedures.
  • Perform general accounting and administrative duties as required.
  • Assist with department social events and town halls.

Requirements

  • A minimum of 3+ years' experience as an Administrative Assistant.
  • Excellent communication and interpersonal skills.
  • Proficient with MS Office applications and collaborative communication tools.
  • Aptitude for using technology to support paper-free business environments.
  • Ability to handle confidential information professionally.
  • Detail-oriented and able to perform in a fast-paced environment.
  • Outstanding organizational, planning, and prioritization skills.
  • Ability to multi-task and manage multiple projects simultaneously.
