Position Overview:

The Office Support Specialist is responsible for executing various clerical and administrative tasks, which include:

  • Drafting correspondence and managing communication.
  • Scheduling appointments and organizing meetings.
  • Maintaining both paper and electronic filing systems for records and correspondence.
  • Processing department invoices and assisting with budget preparation.
  • Providing information to callers and directing inquiries to the appropriate personnel.
  • Coordinating travel arrangements and meetings for staff.
  • Supporting recruitment efforts by managing job postings.

Key Responsibilities:

  • Assist with reconciliation and expense report preparation.
  • Answer phone calls, take messages, and provide information to callers.
  • Organize and maintain filing systems for easy access to documents.
  • Manage incoming mail and prepare responses to routine inquiries.
  • Ensure compliance with company procedures when completing forms.
  • Order and manage office supplies as needed.
  • Make copies of documents and correspondence as required.

Qualifications:

  • Less than 2 years of relevant experience.
  • Proficiency in Microsoft Office Suite, including Excel and PowerPoint.
  • Strong written and verbal communication skills.
  • Excellent organizational skills and attention to detail.
  • Ability to operate standard office equipment and software applications.
  • Professional demeanor suitable for a corporate environment.
