Key Responsibilities

  • Develop and modify client appointment schedules based on staffing availability and client care requirements, ensuring compliance with relevant agreements.
  • Manage new client referrals, confirm appointments, send reminders, and maintain smooth clinic operations.
  • Communicate essential information to clients regarding their clinical case managers, including staff details, service times, and any schedule changes. Support staff with client information and assist in the intake process by gathering necessary data and completing admission documentation.
  • Handle requests from supervisors regarding staff absences and assign personnel accordingly, ensuring adherence to collective agreements. Review timesheets and inform supervisors of any staffing challenges.
  • Perform data entry and general administrative tasks, including maintaining client records in electronic systems, managing filing systems, and preparing various reports and correspondence.
  • Compile and organize information, maintaining accurate records and responding to routine inquiries with professionalism.
  • Operate a multi-line phone system, managing reception duties such as directing calls and welcoming visitors.
  • Address general inquiries from clients, healthcare providers, and the public, providing information about programs and services.
  • Manage incoming and outgoing correspondence, ensuring timely distribution and receipt of documents.
  • Process financial transactions, including payment collection and receipt issuance.

Qualifications

  • Completion of a recognized business or administrative program, with additional training in medical or scientific terminology.
  • A minimum of two years of administrative experience in a healthcare or scientific setting.

Skills and Competencies

  • Familiarity with medical and scientific terminology.
  • Proficiency in various software applications, including word processing, spreadsheets, and databases.
  • Strong problem-solving abilities, customer service orientation, and excellent organizational skills.
  • Ability to type at least 50 words per minute.
  • Effective communication skills, both verbal and written, in English.
  • High attention to detail and accuracy, with the ability to work independently.
  • Capability to prioritize tasks and meet deadlines.
  • Physical ability to perform the duties required by the position.
  • Commitment to fostering reconciliation and understanding of Indigenous Peoples' rights and issues.
