Key Responsibilities

  • Develop and modify client clinic schedules based on staffing availability, ensuring alignment with client care requirements and relevant agreements.
  • Manage new client referrals, schedule appointments, send reminders, and maintain smooth clinic operations.
  • Communicate effectively with clients regarding their clinical case manager, service times, and any schedule adjustments. Provide staff with necessary client information and assist with intake processes, including gathering and summarizing essential data for healthcare providers.
  • Handle requests from supervisors about staff absences and allocate personnel according to established agreements. Review timesheets and report any staffing challenges to management.
  • Perform data entry and general administrative tasks, including maintaining client records, updating manuals, and preparing various reports and correspondence.
  • Organize and manage information, ensuring efficient filing systems and responding to routine inquiries.
  • Operate a multi-line phone system, directing calls and managing visitor interactions.
  • Address general inquiries from clients and the public, providing information about programs and policies.
  • Manage incoming and outgoing correspondence, including mail and packages.
  • Process financial transactions, including payments and receipts.

Qualifications

  • Completion of a recognized business or secretarial program, supplemented by coursework in medical or scientific terminology.
  • A minimum of two years of administrative experience in a healthcare or scientific setting.

Skills and Competencies

  • Familiarity with medical and scientific terminology.
  • Proficiency in various software applications, including word processing, spreadsheets, and databases.
  • Strong problem-solving abilities, customer service orientation, and excellent organizational skills.
  • Ability to type at least 50 words per minute.
  • Effective communication skills, both verbal and written, in English.
  • High attention to detail and accuracy, with the ability to work independently.
  • Capability to prioritize tasks and meet deadlines.
  • Physical ability to perform the duties of the position.
  • Commitment to fostering reconciliation and understanding of Indigenous Peoples' rights and issues.
