The Administrative Coordinator is tasked with the strategic planning and coordination of clerical and administrative support functions for the TB clinic and its associated satellite locations. This role includes overseeing daily operations and ensuring the effective delivery of administrative services. Responsibilities include supervising clerical personnel, managing work schedules to guarantee timely task completion, providing guidance and feedback, and developing operational policies and procedures.

Key Responsibilities

Facilitate the planning and coordination of clerical and administrative support activities across multiple offices. Supervise daily operations and ensure the efficient delivery of services. Manage clerical staff, monitor their work, and implement process improvements. Develop and implement operational policies and procedures to meet organizational needs; identify opportunities for process optimization to enhance service delivery efficiency. Prepare business cases and conduct cost/benefit analyses. Oversee budget management, including resource allocation for annual operating budgets and capital planning. Maintain financial records and ensure compliance with established policies. Ensure the maintenance of facilities and make recommendations for office equipment procurement and supplier selection. Address safety and security concerns in collaboration with maintenance personnel. Manage project work related to facility renovations and repairs, ensuring minimal disruption to operations while tracking project progress. Maintain accurate records and generate statistical reports related to TB and STI/BBI services. Address information requests and participate in systems planning activities. Assist in the recruitment and onboarding of staff, providing training and monitoring performance to ensure adherence to policies and procedures. Coordinate staff schedules, leave requests, and manage casual employee arrangements. Perform various administrative tasks, including managing correspondence, arranging meetings, and providing general office support. Undertake additional duties as assigned.

Qualifications

Completion of Grade 12, supplemented by a recognized diploma in Business Administration and five years of relevant experience, including two years in a supervisory role, or an equivalent combination of education and experience.

Skills & Knowledge

Proficient in supervision and team management. Strong organizational and prioritization skills. Ability to work independently and collaboratively. Excellent verbal and written communication skills. Familiarity with general office procedures and financial transactions. Competence in evaluating administrative systems. Typing speed of 50 wpm. Proficient in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint. Strong analytical and problem-solving abilities. Physical capability to perform job duties. Commitment to fostering reconciliation and understanding Indigenous rights. Knowledge of the socio-economic and historical context affecting Indigenous Peoples is a valuable asset.
