The Administrative Coordinator will oversee the organization and management of clerical and administrative functions within the TB clinic and its associated locations. Responsibilities include supervising daily operations and ensuring the effective delivery of administrative services. You will lead clerical staff, monitor workflows to guarantee timely task completion, and provide constructive feedback on performance. Additionally, you will develop and enforce workplace policies and procedures, manage budgets, and oversee resource allocation for operational needs.

Key Responsibilities

Coordinate clerical and administrative support for the program and its multiple offices, ensuring efficient daily operations and service delivery. Supervise clerical personnel, monitor work schedules, and facilitate conflict resolution while implementing process enhancements. Formulate and apply operational policies and procedures that align with organizational goals, identifying areas for efficiency improvements. Manage financial resources, including budget preparation and expense monitoring, while ensuring compliance with established financial policies. Oversee facility maintenance and equipment procurement, liaising with contractors and service providers to address safety and operational concerns. Lead project initiatives such as facility renovations, ensuring minimal disruption to services while maintaining safety standards. Maintain accurate records related to TB and STI/BBI services, generating statistical reports and responding to information requests. Assist in the recruitment and onboarding of new staff, providing training and monitoring adherence to policies and regulations. Manage employee scheduling, leave requests, and ensure compliance with documentation requirements. Perform various administrative tasks, including managing correspondence, organizing meetings, and providing technical support as needed. Undertake additional duties as assigned.

Qualifications

Completion of Grade 12, complemented by a diploma in Business Administration and five years of relevant experience, including supervisory roles.

Skills & Knowledge

Proficient in supervision and team management. Strong organizational and prioritization skills. Ability to work autonomously and collaboratively. Excellent verbal and written communication skills. Familiarity with office procedures and financial transactions. Competence in evaluating administrative systems. Typing speed of 50 wpm. Proficient in Microsoft Office Suite. Analytical skills for problem-solving. Physical capability to perform job duties. Commitment to fostering reconciliation and understanding Indigenous rights. Knowledge of the historical context of Indigenous Peoples in Canada is a valuable asset.
