The Administrative Coordinator is tasked with overseeing the organization and management of clerical and administrative functions within the TB clinic and its associated satellite clinics. This role includes supervising daily operations and ensuring the effective delivery of administrative services. Responsibilities include managing clerical staff, scheduling and monitoring tasks for accuracy and timeliness, providing guidance and feedback, and developing operational policies and procedures. Additionally, the coordinator will monitor expenses, prepare annual budgets, and oversee facility maintenance and equipment procurement.

Key Responsibilities

Oversee the planning and coordination of administrative support activities across multiple clinics, ensuring efficient operations and service delivery. Develop and implement policies and procedures that respond to organizational needs, identifying opportunities for process improvements and cost efficiency. Manage financial aspects, including budget preparation and expense monitoring, ensuring adherence to fiscal policies. Ensure facility maintenance and safety, coordinating with contractors and maintenance personnel to address any issues. Lead project initiatives such as renovations and repairs, ensuring minimal disruption to clinic operations. Maintain accurate records and generate statistical reports related to clinic services and activities. Participate in recruitment and training of clerical staff, ensuring compliance with policies and procedures. Manage staff schedules, leave requests, and payroll records, ensuring accurate documentation and compliance. Perform various administrative tasks, including correspondence management, meeting coordination, and visitor reception. Undertake additional duties as assigned.

Qualifications

Completion of Grade 12, supplemented by a diploma in Business Administration and five years of relevant experience, including supervisory roles.

Skills & Knowledge

Strong supervisory and organizational skills. Ability to work independently and collaboratively. Excellent verbal and written communication skills. Proficient in office procedures and financial transactions. Competent in evaluating administrative systems and processes. Typing speed of 50 wpm and proficiency in Microsoft Office applications. Strong analytical and problem-solving abilities. Physical capability to perform job duties. Commitment to fostering reconciliation and understanding of Indigenous issues.
