CPS TB Clinics Scheduling Coordinator

Key Responsibilities

  • Develop and modify client clinic schedules based on staffing availability, and suggest shifts and worksite allocations according to client care requirements and relevant collective agreements.
  • Manage new client referrals, schedule and confirm appointments, send reminders, and ensure smooth clinic operations.
  • Communicate and update clients regarding their clinical case manager, including staff details, service times, and any schedule changes. Assist with client intake by gathering necessary information, completing admission documentation, and liaising with relevant sources for additional client data.
  • Handle requests from supervisors regarding staff absences, such as vacations and sick leave, and allocate staff accordingly, following applicable collective agreements. Review and validate timesheets and inform supervisors of any staffing challenges.
  • Perform data entry and general administrative tasks, including inputting client information into relevant systems, maintaining registers, assigning file numbers, and preparing various reports and documents from drafts and instructions.
  • Compile and organize information as needed, including client and staff records and statistics. Manage records by setting up and maintaining filing systems and conducting searches for requested information.
  • Operate a multi-line phone system, performing reception duties such as directing calls, relaying messages, and welcoming visitors.
  • Address general inquiries via phone, email, and in person from clients, healthcare providers, and the public, providing information about programs and policies.
  • Sort and distribute incoming and outgoing correspondence, including mail and packages.
  • Record and manage financial transactions, including processing payments and issuing receipts.

Required Qualifications

  • Completion of a recognized business or secretarial program, supplemented by coursework in medical or scientific terminology, or a relevant combination of education and experience.
  • A minimum of two years of administrative experience in a medical or scientific setting.

Skills and Knowledge

  • Familiarity with medical, scientific, and research terminology.
  • Proficiency in software applications, including word processing, spreadsheets, and databases.
  • Strong problem-solving abilities, customer service orientation, sound judgment, organizational skills, and interpersonal effectiveness.
  • Typing speed of at least 50 words per minute.
  • Effective communication skills in English, both oral and written.
  • High attention to detail and accuracy, with the ability to work independently.
  • Capability to prioritize tasks and manage deadlines.
  • Physical ability to perform the duties of the position.
  • Commitment to fostering reconciliation and understanding Indigenous rights and issues.
