Unit Overview
The Administrative Support Specialist operates under the guidance of the Diagnostic Services Business Manager and is accountable to the Business Coordinators and Clinical Manager. As an integral member of a Multidisciplinary Health Care team, this role encompasses a diverse range of clerical responsibilities including welcoming patients, managing phone communications, maintaining patient records, organizing files, facilitating patient registration, and utilizing electronic health record systems (HIS/RIS/PACS). The position also involves processing requisitions, data entry, and assisting in the image library and reception areas, along with other duties as needed within Diagnostic Services.
This department is characterized by a high-volume, fast-paced environment that necessitates independent decision-making, effective teamwork, and a professional demeanor with strong public relations skills.
Position Responsibilities
The Healthcare Reception Coordinator is responsible for a variety of clerical tasks including:
- Greeting patients and managing incoming calls
- Documenting patient information accurately
- Organizing and retrieving files efficiently
- Facilitating patient registration processes
- Utilizing electronic health record systems effectively
- Processing requisitions and performing data entry tasks
- Assisting in the image library and reception areas as required
This role requires adaptability to various shifts including days, evenings, nights, weekends, and holidays, with rotation between sites as necessary.
Qualifications
1. Completion of a Community College Diploma in Medical Office Administration or 2-3 years of relevant medical office experience.
2. Proficiency in Medical Terminology related to Diagnostic Services.
3. Strong computer skills, including MS Windows, Outlook, and Word.
4. Typing proficiency of at least 40 WPM.
5. Ability to learn and apply terminal digit and color-coded filing systems.
6. Excellent organizational and problem-solving abilities.
7. Strong telecommunication and interpersonal skills.
8. Understanding of privacy and confidentiality regulations.
9. Capability to lift up to 20 lbs as required.
10. Ability to thrive in a fast-paced environment.
11. Previous experience in Diagnostic Services reception, registration, and booking areas is preferred.
12. Familiarity with Meditech Magic and ITS systems is advantageous.
13. Assessment of medical terminology, computer, and typing skills will be conducted.
As a condition of employment, proof of full COVID-19 vaccination is required.
