Job Overview

As an Administrative Coordinator for the Cardiac Care Unit, your primary responsibility will be to provide comprehensive administrative, secretarial, and receptionist support within a confidential and professional environment. You will utilize your effective communication skills, critical thinking, and problem-solving abilities to manage a variety of tasks in a fast-paced and demanding setting. This role plays a vital part in supporting the hospital's commitment to integrated patient-centered care through education, research, and innovation.

Key Responsibilities

  • Adhere to and support hospital policies and procedures.
  • Serve as a patient liaison, employing customer service principles to assist patients and families, including registration and managing inquiries.
  • Coordinate interdepartmental activities, including patient transportation, appointment scheduling, and discharge processes.
  • Act as a representative for healthcare professionals by managing incoming calls, recording messages, and scheduling patient visits.
  • Identify and escalate issues to the Clinical Team Manager in a timely manner.
  • Compile and distribute materials related to program activities.
  • Maintain attendance records and manage payroll inputs, including nursing resource pool statistics.
  • Process computer provider order entries and notify relevant staff as necessary.
  • Assist clinicians with scheduling and follow-up appointments.
  • Manage requisitions and follow up on outstanding information, such as test results.
  • Organize admissions, discharges, and medication information, ensuring accurate electronic documentation.
  • Prepare reports and discharge instructions, managing photocopying and information processing.
  • Monitor and maintain office supplies inventory, placing orders as needed.

Qualifications

  • Ontario Secondary School Diploma (OSSD) or equivalent.
  • Medical office assistant certification or at least one year of relevant experience in a medical setting.
  • Familiarity with medical terminology and ability to perform medical transcription.
  • Experience with payroll and staff scheduling.
  • Commitment to patient-centered care.
  • Minimum typing speed of 45 words per minute.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Experience in a customer service role within a fast-paced environment.
  • Previous experience in an inpatient unit is preferred.
  • Bilingualism in French and English is an asset.
