Position Overview

Unit Secretary, Telemetry Unit
In this role, you will provide essential administrative, secretarial, and reception support for the Telemetry unit, ensuring confidentiality and professionalism in all interactions. Your strong communication skills, critical thinking abilities, and adeptness at managing multiple priorities in a fast-paced environment will be vital to your success. This position plays a crucial role in supporting the hospital's academic mission by enhancing care through education and research initiatives.

Key Responsibilities

  • Adhere to hospital policies and procedures while providing exceptional service.
  • Act as a liaison for patients and families, managing registrations, phone inquiries, and requests efficiently.
  • Coordinate interdepartmental activities, including patient transportation, appointment scheduling, and discharge processes.
  • Screen and triage incoming calls, relay messages, and manage patient and visitor schedules.
  • Collaborate with the Clinical Team Manager to address time-sensitive issues and concerns.
  • Compile and distribute materials related to program activities.
  • Maintain attendance records, process payroll, and manage nursing resource pool statistics.
  • Assist clinicians with system order entries and patient appointment scheduling.
  • Process medical requisitions and follow up on outstanding information, ensuring documentation is accurate.
  • Organize admissions, discharges, and medication information, ensuring electronic records are updated.
  • Prepare reports and discharge instructions, managing information flow effectively.
  • Monitor and manage office supply inventory, ensuring timely orders and receipt verification.

Required Qualifications

  • Ontario Secondary School Diploma (OSSD) or equivalent.
  • Medical office assistant certification or a minimum of one year of relevant office experience in a medical setting.
  • Familiarity with medical terminology and proficiency in medical transcription.
  • Experience with payroll processing and staff scheduling.
  • Commitment to patient-centered care principles.
  • Minimum typing speed of 45 words per minute.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Experience in a fast-paced customer service environment.
  • Previous experience in an inpatient unit is preferred.
  • Bilingualism in French and English is an asset.
