Your Role

Our offices in Manitoba are seeking a Manager of Office Operations. This role involves some travel within the southern Manitoba area and encompasses the following responsibilities:

  • Lead a team of four administrative leads, working alongside the Manager of Operations to oversee 50 staff across various offices in southern Manitoba. Responsibilities include recruitment, onboarding, training, guidance, and coaching.
  • Supervise and manage administrative functions and office operations across multiple locations, ensuring alignment with the Firm's goals and objectives.
  • Enhance administrative processes across various offices, implement best practices, and provide support to all service lines to maximize efficiency and productivity.
  • Collaborate with leadership to ensure effective and efficient client service delivery.
  • Coordinate with service line leaders to address their administrative needs and deliver efficient solutions.
  • Cultivate a positive workplace culture that encourages teamwork, open communication, and high levels of team engagement.
  • Oversee and coordinate office operations, including facilities management, maintenance, and supply management.
  • Assess and refine office processes, identify improvement opportunities, and implement consistent practices across different locations.
  • Manage office expenditures, including the review and approval of supplier invoices.
  • Participate in budget planning for office-related expenses.
  • Act as a central point of contact for internal communications, fostering effective communication within the Manitoba offices.
  • Organize and coordinate office events, such as conferences and social gatherings.
  • Ensure compliance with regulatory standards concerning office operations, health and safety, and security.

Required Experience and Skills

  • Over 5 years of proven leadership experience in managing an administrative team, ideally in a multi-office setting.
  • Exceptional interpersonal skills, with the ability to create a positive, inclusive work environment and effectively communicate at all levels.
  • Proven experience as an Office Manager or in a similar capacity, preferably overseeing operations across multiple locations.
  • Proficient in MS Office, MS Teams, and Excel; experience with Workday is a plus.
  • Experience in virtual leadership and fostering team collaboration.
  • Strong problem-solving, analytical, and communication skills, both written and verbal.
  • Committed to delivering exceptional client service with a keen attention to detail.
  • Demonstrated ability to adapt and lead in a dynamic business environment.
  • A mindset focused on process improvement, continuously striving to innovate workflows and enhance the end-user experience.
