Job Summary:

The Intake Coordinator role with Lifemark is a critical position that serves as the initial point of contact for clients and key customers. As a member of the Customer Contact Centre team, this role is essential in ensuring that Lifemark provides timely and effective treatment services to patients who require quality care.

Key Responsibilities:

  • Act as the primary point of contact for client companies, receiving and recording new referrals within our client intake system.
  • Verify information and coordinate assessment times with our network of clinics, ensuring seamless communication and efficient scheduling.
  • Book appointments via our internal booking system, streamlining the patient onboarding process.
  • Input and update referral data and treatment plan statuses in our database, maintaining accurate records and facilitating data-driven decision making.
  • Provide support and assistance with monthly referral tracking reports and quarterly outcome reports, contributing to the continuous improvement of our services.

Requirements:

  • 2+ years of previous customer service/administrative experience, with a strong background in client-facing roles.
  • Bilingual French is preferred, but not required.
  • Post-Secondary education is an asset, demonstrating a high level of education and expertise.
  • Advanced written and verbal communication skills, with a strict attention to detail and ability to maintain confidentiality.
  • Strong interpersonal skills, with the ability to build and maintain customer relationships with client companies and patients.
  • Ability to prioritize tasks under pressure, working efficiently in a fast-paced environment.
  • Proficiency in MS Word, Excel, and database software, with a strong aptitude for technology.
  • Exceptional organizational skills, with the ability to work independently, take initiative, and demonstrate a strong work ethic.
