Client Care Veterinary Support Specialist

Location: Burlington, ON

VCA Canada is seeking a dedicated and compassionate Client Care Veterinary Support Specialist to enhance our team. This full-time position requires a minimum of 3 years of experience in the veterinary field and encompasses a variety of duties that contribute to the smooth and effective daily functioning of our facility. Your main focus will be to ensure that our clients and their pets feel welcomed, expertly cared for, and valued.

Key Responsibilities:

  • Assist veterinary professionals with various tasks and treatments.
  • Foster a warm and inviting atmosphere for our patients and their owners.
  • Promote a positive, low-stress environment for clients and their pets.
  • Maintain cleanliness in the reception area, pet holding areas, and communal spaces.
  • Exhibit compassion and a nurturing demeanor.
  • Stay composed in high-pressure situations and adapt to changing circumstances.
  • Efficiently complete tasks independently.
  • Take initiative to fulfill daily responsibilities.
  • A certificate from a Veterinary Assistant (VA) or Veterinary Office Assistant (VOA) program is advantageous.

Additional Duties:

  • Over 3 years of experience in Customer Service and Client Care.
  • Proficient in managing a multiline phone system and effectively scheduling appointments.
  • Conduct follow-up calls to pet owners for appointment confirmations and future bookings.
  • Manage email communications with clients, referring veterinarians, and internal messages.
  • Facilitate the admission and discharge processes for pet patients.
  • Handle invoicing and billing, including creating estimates, obtaining confirmations from pet owners, and processing payments.
  • Schedule appointments efficiently.
  • Demonstrate excellent customer service skills, with a natural ability to put clients at ease and create a welcoming environment.
  • Possess strong organizational skills.
  • Show a willingness to expand knowledge regarding veterinary services, updated medical office procedures, and assist veterinary staff with various tasks and treatments.
  • Previous experience in customer service or front desk roles in hospitality or retail is beneficial.
  • A love for animals is essential, even without prior experience.
