Job Summary

The Medical Secretary plays a crucial role in supporting the Nurse Practitioner (NP) and the multidisciplinary team by delivering essential administrative assistance that promotes exceptional client care and smooth operational flow. This position is pivotal in fostering a welcoming atmosphere for patients and their families within the clinics.

Key Responsibilities

  1. Manage incoming calls, document and relay messages, schedule appointments, and greet patients and visitors.
  2. Coordinate referrals to other healthcare professionals and arrange appointments for various medical services.
  3. Assist the Nurse Practitioner by organizing calendars, scheduling patient visits, and coordinating professional engagements.
  4. Compile medical documentation, including reports, patient histories, and correspondence.
  5. Oversee projects related to accreditation and training, ensuring proper organization and coordination.
  6. Implement effective filing systems to enhance operational efficiency.
  7. Safeguard patient confidentiality and maintain operational integrity through meticulous attention to detail.
  8. Monitor and manage office supplies, ensuring timely ordering and inventory checks.
  9. Ensure the functionality of office equipment through regular maintenance and troubleshooting.
  10. Administer patient satisfaction surveys and compile results for review.
  11. Maintain and report statistics as required by funding bodies.
  12. Input data into the Electronic Medical Record (EMR) system, ensuring accuracy and completeness.
  13. Document relevant conversations in patient records within the EMR.
  14. Oversee vaccine storage and maintain necessary supplies in compliance with public health policies.
  15. Communicate with patients, families, and specialists as directed by the Nurse Practitioner.
  16. Adhere to professional standards and organizational policies to support the healthcare community.

Relationships

  1. Engage regularly with district leadership, Nurse Practitioners, and multidisciplinary team members.
  2. Work with external vendors to maintain equipment and services.
  3. Interact with health authorities and care agencies.
  4. Communicate with clients, families, and medical staff.

Qualifications

  1. Post-secondary education in Medical Office Administration or a related field is required.
  2. A minimum of 2 years of experience in a healthcare office setting.
  3. Proficient in Microsoft Office and Electronic Medical Records (EMR).
  4. Knowledge of the Nurse Practitioner role in Primary Health Care is advantageous.

Additional Requirements

  1. Access to a personal vehicle for business purposes, along with a valid driver's license and proof of insurance.
  2. A satisfactory Criminal Records Check is mandatory.
  3. A Vulnerable Sector Search and/or Child Abuse Registry Check may be necessary.
  4. Willingness to travel occasionally for work-related tasks.

Physical Demands

This role requires attention to detail in a dynamic setting, involving physical activities such as lifting, carrying, bending, and other movements that promote good body mechanics. The position necessitates walking, sitting, standing, and climbing stairs throughout the day, with certain tasks requiring fine motor skills.
