As the Administrative Assistant, you will be the first point of contact for our Evergreen Campus of Care community during business hours, supporting the Administrator, managers, and team members by delivering excellent administrative services that foster a welcoming and organized environment.

About The Role

*This role is from Tuesday to Friday (about 32 hours/week)

As the Administrative Assistant at Evergreen, you will serve as a key ambassador for our community, providing a welcoming presence at the reception desk and ensuring smooth building access during business hours. You will offer essential administrative support across a variety of areas, including communication management, document preparation, inventory coordination, resident admissions and discharges, and event support. With a strong commitment to confidentiality, accuracy, and collaboration, you will work closely with both internal teams and external partners to uphold Baptist Housing’s mission and foster an inviting, well-organized environment.

Key responsibilities include:

Handling incoming calls, emails, mail, and general correspondence.

Carrying out general administrative tasks, maintaining filing systems and organizing confidential documentation.

Preparing and processing resident admission, rate changes, suite vacancies and discharge paperwork.

Liaise with external agencies to ensure correct financial rates are applied and processed correctly.

Coordinating inventory management and ordering supplies.

Organizing meeting logistics and supporting event coordination.

Assisting with financial processing, month-end and administrative reporting.

Process guest suite booking/payments and coordinate calendars

Providing basic IT support and troubleshooting assistance.

Supporting team communications, scheduling, and project tracking, maintenance care requests.

Ensuring adherence to privacy, confidentiality, and safety protocols.

Other duties as required.

Requirements

Graduate of a recognized post-secondary Business Administration program or a related discipline

Minimum 3 years’ experience in an administrative assistant role, preferably in a long-term care or health care environment

Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, Publisher) and strong general computer skills

Ability to type a minimum of 60 words per minute accurately

Bondable and able to work effectively both independently and within a collaborative team environment

Excellent communication skills, both written and verbal, with strong interpersonal abilities

Highly organized, detail-oriented, and able to manage multiple priorities efficiently

Familiarity with PointClickCare, Canva, and office equipment is an asset

Physically and mentally able to carry out assigned duties in the working environment

An hourly salary of $25.15.

Your comprehensive benefits include employer-paid extended health and dental coverage, along with three weeks’ vacation.
