Job Purpose
The Site Administrator is primarily responsible for overseeing the administrative tasks required at the project site, helping the team operate effectively and efficiently. This role also provides support to the Construction Site Leadership Team to ensure effective operations of the Turnaround (TA)
Responsibilities
- Displays a commitment to Waiward's incident-free vision, values, and culture.
- Assists with efficient running of day-to-day operations for the TA Leadership Team.
- Coordinates with onboarding / training and orientation to ensure dispatch requirements are in place.
- Resolves onsite issues arising from the onboarding / training and orientation processes.
- Oversees submission of timesheets, DSI and DFLs by the responsible persons.
- Schedules onsite supervision meetings and takes minutes of meetings as required.
- Manages fleet, computers and office supplies for the TA team, ensuring adequate levels are maintained.
- Coordinates with IT to resolve computer and connectivity issues.
- Ensures compliance with timesheet / payroll workflows and processes.
- Communicates with field supervision to ensure issues are quickly resolved.
- Provides administrative support to TA leadership, including managing documentation and filing systems.
- Identifies and raises any issues or concerns that are impacting efficient and effective work performance.
- Reviews and organizes paper flow - packing slips, change orders and any other documentation in coordination with area Leads.
- Other duties as required.
Qualifications
- High School Diploma, or relevant experience and/or training.
- Onsite experience within the construction and maintenance industry is an asset.
- Positive attitude, resourceful, motivated, and willing to learn.
- Excellent interpersonal and communication skills – written and verbal.
- Is proficient with typing and reporting minutes of meetings.
- Must have a good understanding of Microsoft Forms, Word, Excel, PowerPoint and PowerAutomate.
- Attention to detail and ability to analyze data.
- Must have CSTS 2020 and hold valid certifications for site access/work being performed.
- Must complete a pre-access Alcohol and Drug test prior to accessing site.
- Class 5 Driver's License and a clear and current driver's abstract is required.
Working Conditions
This position will be either based on the Shell Scotford Project Site based in Fort Saskatchewan, AB. Depending on the project, this position may be required to stay at camp, and travel to and from multiple sites on a short-term basis. The incumbent is required to work in an office environment on site with little to moderate noise and small spaces. The incumbent must be prepared to walk outdoors in inclement weather, including winter conditions and slippery surfaces, and may occasionally need to carry moderate loads.Additionally, the role may require regular driving between locations and the ability to function effectively in an office environment for administrative tasks.
Physical Requirements
The incumbent is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; viewing a computer terminal for extended periods of time; and extensive reading. The incumbent is also required to sit for extended periods of time and communicate with construction employees regularly.
