**Administrative Assistant**
We have an exciting opportunity for an Administrative Assistant to perform general office administrative duties and cover reception duties as backup support, respond to incoming calls and inquiries, and greet and direct all visitors in a positive and professional manner. Exceptional customer service is required in all interactions. **Duties and Responsibilities**:
- Send, sort, and distribute faxes and couriers promptly
- Receive, date stamp, and distribute all incoming deliveries and mail promptly
- Manage the mail machine and send mail daily
- Maintain office, kitchen, and photocopier supplies
- Manage the booking and use of the meeting rooms
- Provide back up support to reception
- Load and unload dishwasher(s) daily
- Order office supplies as required
- General administrative tasks including data entry, photocopying and scanning, preparation of binders, and file management
- Respond to daily inquiries from lawyers, legal assistants, and clients
- Assist with office events (Christmas parties, birthdays, Administrative Professionals Day, long term service, etc.)
- Event planning, arranging food, setting up rooms, etc.
- Daily Bank runs
- Assist with closing files
- Maintain the first aid kits, attend the building’s annual fire drill training
- Call in repairs for photocopiers, fax machines, telephone, and computers when needed
- Provide coverage support to reception by answering the phone in a prompt, courteous, and professional manner
- Greet and assist clients in a polite, friendly, and professional manner
- Other duties as assigned
**Qualifications**:
- Minimum 2 years experience in a receptionist and administrative role
- Experience in the legal industry is preferred
- Working knowledge of Microsoft Suite (Word, Outlook, and Excel)
- Strong attention to detail and ability to problem solve
- Excellent time management and organization skills
- Adaptability, reliability, punctuality, and dependability
- Friendly demeanor
- Strong customer service skills are required
- Excellent verbal and written skills
- Strong ethics and integrity in regard to client confidentiality and protection of information
