We are seeking a Full-Time Receptionist and Legal Assistant with the following skill set:
- Previous experience in the legal field is helpful but not mandatory.
- Receptionist, legal assisting or clerk experience are an asset.
- Positive, friendly personality and with a sense or humour
- Excellent interpersonal and communication skills in English, both verbal and written.
- Technology-savvy with proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Organizational and time management skills are a must.
- Ability to work independently and multitask is required.
**RESPONSIBILITIES**:
**2)** **DOCUMENT PREPARATION**: Review, edit, and process legal documents such as agreements, wills, pleadings, and legal filing. Ensure accuracy, adherence to legal formatting standards.
**3)** **FILE MANAGEMENT**: Organize, maintain, and manage legal files, both in physical and electronic formats. Ensure all documents are properly indexed, labeled, and easily accessible for lawyers and clients. Scanning and closing completed files.
**4)** **CLIENT COMMUNICATION**: Communicate professionally and effectively with clients, answering inquiries, providing updates, and scheduling meetings or appointments. Maintain confidentiality and establish strong client relationships.
**5)** **ADMINISTRATIVE SUPPORT**:Assist lawyers with administrative tasks such as scanning, printing and e-filing documents. Coordinate scheduled and entering calendar appointments.
**6)** **TRANSACTIONS**: Assist in real estate, corporate, and estate administration processes.
**7)** **LEGAL DATABASE MANAGEMENT**:Utilize legal software and databases to organize and manage case files, wills storage, client information, and other relevant data. Ensure data integrity and efficient retrieval when needed.
Salary is paid hourly, starting at $18.50 an hour, and based on experience.
