Working with the HR Manager, the HR Assistant will maintain operational efficiency at HIEC by administering and coordinating diverse HR engagement initiatives throughout the organization. The individual will be responsible for responding to requests for information from leaders and employees, ensuring smooth communication and prompt resolution of all queries. This role will also support our daily HR activities and assist with the day-to-day operations of the human resources functions and duties.

The HR Assistant carries out responsibilities in some or all of the following functional areas including, and not limited to, recruitment and selection, departmental development, HRIS, employee relations, training and development, benefits, employment, health and safety and executive administration.
- Be between 15-30 years of age at the start of the funded position.
- Be a Canadian Citizen, permanent resident, or someone to whom Refugee Status has been granted/conferred.
- Have a valid Social Insurance Number (SIN)
- Be available to work 35 hours/week over an 8-week period (May to August)

Responsibilities will include but not be limited to:

- Assist in recruitment efforts, including job postings, scheduling interviews, and conducting initial screenings
- Coordinate new hiring onboarding processes, including preparing new hire paperwork and conducting orientation sessions
- Maintain and update employee records, including personnel files, HRIS data entry, and other HR databases
- Assist in the administration of employee benefits programs and respond to employee inquiries regarding benefits
- Assist in the preparation of HR projects, such as employee engagement initiatives, training programs, and policy development
- Assist in the preparation of HR reports, presentations, and other communications
- Support HR compliance efforts by ensuring adherence to policies, laws, and regulations
- Communicate with staff regarding company programs, policies/procedures and organizational issues
- Work together with HR Manager to ensure an inclusive work environment
- Initiate and maintain ongoing communications with departments to verify or correct information and build relationships
- Keep up to date with the latest HR trends and practices
- Keep HR Manager updated on all HR initiatives, outcomes and challenges
- Assist in the coordination and facilitation of company events
- Perform other administrative tasks and duties as assigned by the HR Manager

Qualifications to succeed:

- Pursuing or completed a degree in Human Resources, Business Administration, or a related field
- Previous experience in an HR role is an asset
- Knowledge of applicable employment legislation, including the _Employment Standards Act, Ontario Human Rights Code_, and _Labour Relations Act_, as well as legislation related to Privacy issues and other applicable legislation; a solid understanding of HR best practices

Key Competencies:

- Interest in working for a not-for-profit organization
- Strong organizational skills and an ability to prioritize and complete tasks and assignments with mínimal supervision and within a defined time frame
- Exercises considerable judgement, tact, and discretion in preparing, disclosing and handling information of a confidential and/or sensitive nature
- Exceptional communication and interpersonal skills
- Excellent time management skills
- Excellent computer skills, including general knowledge of HRIS (BambooHR), data entry, spreadsheets, Google
- Demonstrated ability to learn and take initiative, adaptability, approachability, and openness to self-directed learning
- Ability to work well under pressure and meet deadlines

Working Conditions:

- Typical working hours are 8:30 am to 4:30 pm, Monday to Friday, with some requirements to work additional hours, occasionally during evenings and weekends. It may require some flexibility to support high-impact events and programs that run from time to time
- Travel required within Ontario or Canada for presentations, partnership meetings, conferences, etc.
- Ability to lift and carry equipment and supplies up to 25 lbs
