**Salary: $51,795.29 - $62,154.97 (will be pro-rated by months worked)**

**DESCRIPTION**:The Administrative Services Department of Catholic Children's Aid Society of Toronto is seeking a self-motivated, well organized and energetic individual as an Administrative Assistant (Equity & Clinical Services) position on a six (6) months temporary assignment. The incumbent will provide and coordinate a range of administrative services to support the business and operational needs of the department and agency.

**Duties Include**:

- Undertake a wide range of activities in support of the department’s programs and workplans including assisting with communication, data entry, organizing and scheduling meetings, supporting training requirements and presentation events, tracking project deadlines, maintaining resource lists, collecting and sharing data, and maintaining file management systems;
- Coordinate a variety of meetings and activities for the department, including managing and updating computerized schedules, booking a variety of meetings and consultations, preparing agendas, note-taking and minute preparation, and booking meeting rooms/equipment;
- Update and maintain electronic files, records and documents, scanning and uploading to CPIN and/or other designated IRM repositories that comply with best practices and corporate standards;
- Maintain statistical information, and assist with the collection and tracking of key performance indicators within the department;
- Provide administrative support to a diverse range of department programs and services, including but not limited to: Clinical Services, Access and Family Support Programs, Equity, Diversity and Inclusion service initiatives, Facilitated Conferences and Family Network Engagement programs, client complaints, program evaluations, learning and development projects, external data requests, spreadsheet development, data entry, and preparing/formatting materials;
- Develop and maintain reliable information tracking systems and records, including reference materials and reports produced by the department, repositories for academic literature, community resources and external stakeholders lists;
- Proofread and format reports, correspondence and other materials to ensure accuracy, clarity and professionalism in documentation;
- Support training requirements including, registration, attendance, confirmations, scheduling, providing materials, setting up training rooms, and provisioning access to training sites;
- Provide administrative coverage within the agency where deemed necessary;
- Participate in special administrative/research projects, internal committees, and other duties as assigned;
- Work in a safe manner in accordance with the Society’s Health and Safety policies and procedures and all relevant legislation.

**Qualifications Required**:

- Post secondary education in Business or Administrative studies with a minimum of three years of experience and/or a combination of education and proficiency in a related office experience;
- Demonstrated increasingly responsible administrative support experience;
- Knowledge of a variety of office equipment including photocopiers, computers, scanners and audio-visual equipment;
- Accurate typing skills with good capacity for detail and above average accuracy in documentation and proof-reading skills;
- Excellent organizational, coordination and time management skills to determine priorities, meet strict deadlines and manage several assignments simultaneously;
- Excellent communication skills including strong interpersonal, written and verbal skills;
- Ability to work effectively with an extremely diverse community;
- Ability to use sound judgement and tact to problem-solve a range of issues as they arise;
- Demonstrated ability to work independently and interconnectedly with a team and to use initiative in a fast-paced environment;
- Personal integrity, responsibility and a commitment to integrating the values of the CCAS Mission Statement and embedding anti-oppressive/anti-racist practice into all aspects of the work, the principles of equity, justice, and AODA into practice, service delivery and team relationships.
