The **Dovigi Orthopaedic Sports Medicine Clinic**, previously the Rehab and Wellbeing Centre, provides leading-edge rehabilitation medicine by experts who span decades of clinical practice, research and education. The centre offers assessment, treatment, and rehabilitation services to the Greater Toronto Area. Our patients are those who suffer from but not limited to general aches and pains, recreational and professional athletes, weekend warriors and pre and post surgical patients.
To support us on our journey, we are looking for a patient focused and organized **Clinic Administrator.** Our Clinic Administrator is responsible for the patient’s first impression when they enter the clinic. Superior customer service skills and a positive friendly attitude are required. You will support the organization’s mission, vision, core values and customer service philosophy.
**Responsibilities**:
- Greet patients upon arrival, register, confirm all relevant details (i.e. health card number, address, etc.) and prepare their chart for consultation
- Answer telephone calls, refer urgent calls to the appropriate team member
- Screen, prioritize and process referrals and patient requests for appointments with members of the Inter professional team
- Manage patient flow to optimize efficiency of the Inter professional team members’ time
- Provide information over the phone to patients as appropriate and take message to pass on to the Inter professional team members
- Book appointment for follow-up as per protocol or as directed by the Inter professional team members
- Input client information and service plan information to the client health record as requested
- Interact with other hospital departments, laboratories and external medical institutions on behalf of patients and team members (i.e. book referral appointments, order repeat prescriptions, etc.)
- Prepare day lists and patient encounter forms for the next day’s clinic
- Process all dictated clinical notes (i.e. fax to referring physicians) as well as transcription of medical reports for doctors and residents
- Provide general clinical administration support, including word processing, distributing mail, etc.
- Other duties assigned by the Inter professional team members and Manager
- Job Requirements- Successful completion of a Medical Secretary or Business Administration Diploma from an accredited educational institution.
- Minimum of 1 (one) year of recent receptionist experience working in a clinic/health environment.
- Applicants with proven equivalent and related training and experience may be considered.
- Working knowledge of medical terminology.
- Experience with Practice Solutions medical software is an asset.
- High level of proficiency in using computerized patient booking systems.
- Excellent oral and written communication, including presentation skills.
- Bilingual (English and French) language skills are a definite plus.
- PC literate, including Microsoft Office products.
- Strong organizational skills.
- Excellent interpersonal skills.
- Must be detail oriented.
- Ability to work in a team environment.
- Ability to meet or exceed Performance Competencies.
- Ability to work under pressure and be adaptable to changing procedures and priorities while remaining flexible and responsive to requests.
- Must have the ability to handle multiple tasks in a fast paced medical organization.
- Demonstrated satisfactory work performance and attendance history.
