**Poste: adjoint/adjointe administrative - gestion immobilière**

Dans le cadre des fonctions de l’adjoint/adjointe administrative, vous y apporterez vos compétences organisationnelles et administratives et apprendrez les éléments diversifiés de la gestion immobilière commerciale.

En tant qu’adjoint/adjointe administrative à temps plein, vous serez impliqué dans tous les aspects de la gestion d’un complexe commercial moderne. Relevant du directeur immobilier sur place, vous participerez activement aux opérations et aux demandes administratives de l’immeuble.

Le poste sera basé au centre de l’ile de Montréal dans un complexe immobilier bénéficiant d’un accès direct aux lignes orange et bleue du métro. Également un stationnement intérieur pourra être mis à la disposition de l’adjoint ou adjointe administrative si requis. Le salaire et les bénéfices seront compétitifs.

**Les principales responsabilités du poste seront les suivantes**:

- Procéder à la gestion des demandes de services des locataires et s’assurer que les services soient facturables ou pas;
- Accompagner le gestionnaire dans les rencontres avec les locataires et fournisseurs;
- Soutenir le gestionnaire immobilier dans ses fonctions administratives.
- Maintenir à jour les listes de contact locataires ;
- Communiquer aux locataires les notes de service et communiqués ;
- Mettre à jour les différents registres comme celui des bons de commande ;
- Réaliser le suivi des commandes avec les entrepreneurs ;
- Réceptionner les factures (format numérique ou numériser ceux en papier) ;
- Procéder à l’appariement et le codage des factures, à partir des données émises dans les bons de commande et les soumissions correspondants en PDF ;
- Soumettre en version numérique (sauvegardé dans le serveur) la documentation de facturation (Facture + bon de commande + Soumission) au gestionnaire pour validation et signature ;
- Communiquer la documentation finale complète, une fois approuvée par le gestionnaire, au comptable assigné à la propriété ;
- Procéder aux inspections de l’immeuble avec le gestionnaire.

- Maitrise des systèmes d’exploitation Windows, Office et d’Adobe Acrobat Pro DC ;

**Position: Administrative Assistant - Real Estate**

Here is a great opportunity to join ROSDEV, a family-owned business with over 50 years of experience in commercial real estate. As part of the duties of the Administrative Assistant, you will bring your organizational and administrative skills and learn the diversified elements of commercial real estate management.

As an Administrative Assistant full time, you will be involved in all aspects of managing a modern commercial real estate complex. Reporting to the Property Manager on site, you will actively participate in the operations and administrative challenges of the building.

The position will be based in the center of the island of Montreal in a complex with direct access to the orange and blue metro lines. Also, indoor parking will be made available to the administrative assistant if required. Salary and benefits will be competitive.

**The main responsibilities of the position will be**:

- Proceed with the follow-up of service requests and ensure that the services are billable or not;
- Accompany the manager in meetings with tenants and suppliers;
- Support the property manager in his administrative functions;
- Maintain the tenant contact lists;
- Provide tenants with memos and press releases as directed;
- Update the various registers such as purchase orders;
- Follow up on projects with contractors;
- Receive invoices (digital format or scan paper ones);
- Perform the matching and coding of invoices, from the data issued in the corresponding purchase orders and submissions in PDF;
- Submit in digital version (saved in the server) the invoicing documentation (Invoice + purchase order + Submission) to the manager for validation and signature;
- Communicate the complete final documentation, once approved by the manager, to the accountant assigned to the property;
- Perform building inspections with the Property Manager.

**The job requirements are as follows**:

- Hight school diploma - experience in real estate is an asset;
- Proficiency in Windows, Office and Adobe Acrobat Pro DC operating systems
