The
**Administrative Specialist** is expected to provide comprehensive assistance to the Chief of Staff on a variety of focus areas, both in and outside of the CEO Office, and is often trusted with complex duties and sensitive information. Tasks may include but are not limited to assisting with operating system implementation, monitoring special projects, updating documentation, preparing meeting notes and participating in meetings, and maintaining necessary databases and files.

**What does a day in the life as an Administrative Specialist look like?**:

- Maintaining and updating information related to key projects and initiatives - these may include but are not limited to such areas as operating system implementation, partnership development, corporate development, general executive support, and more
- Conserve leader’s time by collecting and analyzing information relevant to key initiatives
- Prepares reports for the leader by collecting and analyzing information
- Represents the leader by attending meetings in the leader’s absence and cascades information whenever needed
- Conducts research as necessary and proposes solutions to challenges
- Tracks progress and completion of tasks and actions related to key projects and initiatives, follows up with key stakeholders as necessary to keep things moving forward
- Maintains leader’s confidence and protects operations by keeping information handled confidentially
- Completes projects by assigning work to the appropriate team and following up on results
- Demonstrate leadership to maintain credibility, trust, and support with senior management staff.
- Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
- Perform other duties as assigned.

**What are the required qualifications for an Administrative Specialist?**:

- Minimum 2 years of experience in the same or similar position, providing assistance to C-Level Executives and/or senior leaders
- In depth knowledge of diverse business functions and principles (e.g. supply chain, finance, customer service etc.); Working knowledge of data analysis and performance/operation metrics
- Familiarity with customer support CRMs and Google Workspace
- Basic data analysis skills and ability to synthesize complex information
- Previous experience with an organizational operating system is highly desirable
- Strong organizational, time management, project management, and problem-solving skills with impeccable multi-tasking abilities
- Exceptional interpersonal skills; beyond satisfactory business communication skills, both in written and verbal
- Proficiency in collaboration and delegation of duties
- Exceptional level of discretion and confidentiality
- Pleasing personality is highly desirable
