**Job Summary**
- The Faculty of Dentistry is home to nationally and internationally recognized faculty who perform world-class research while providing outstanding oral health education. Reporting to the Director, School of Dental Hygiene, the Administrative Assistant is responsible for a wide variety of responsibilities including coordinating day-to-day office operations and acting as the principal resource person for the unit.

**Key Responsibilities**
- Manage and monitor an accounting system for the School of Dental Hygiene to track and record all payroll and non-salary expenses and any revenue, and follow up on discrepancies.
- Responsible for communication, technology, effective daily functioning procedures of business machines, processing of purchase orders for payment upon receipt of goods, pickup and delivery of mail.
- Organize various academic activities and committee meetings for the School, such as continuing education/workshops and assist the Director in standard administrative matters.
- Act as resource person for first, second and baccalaureate dental hygiene students. Act in a liaison capacity frequently with external and internal students, alumni and faculty.
- Maintain first, second and baccalaureate student files and monitor student academic progress records as needed. Invigilate exams for both Dental Hygiene and Dentistry students and coordinate the accreditation process for Dental Hygiene.
- Format, edit and prepare various types of correspondence, reports, schedules, manuals, exams, taking minutes of meetings, agendas, notices and recruitments/promotional materials.

**Note**
Due to operational requirements, the successful applicant is required to work in-person on campus.

**Required Qualifications**
- Business/Office Administration diploma with a minimum of three years’ experience in a related role (or equivalent combination of education and experience).
- Strong attention to detail and a high level of organizational skills.
- Proficiency in Excel and Word.
- Must be able to manage and organize workload, multi-task and meet a variety of deadlines.
- Excellent interpersonal and communication (verbal & written) and customer service skills with the ability to work in a team environment.
