**About Us**:
The Court of Appeal of Alberta sits in both Edmonton and Calgary and hears criminal appeals from the Provincial Court and both criminal and civil appeals from the Court of Queen's Bench. It also hears appeals from administrative and board tribunals and reviews records to determine whether errors of law or fact were made in a decision. In addition, the Court of Appeal may be asked to provide an opinion on questions referred to it by the Lieutenant Governor in Council under the Judicature Act.

**Role**:
Office Facility and OHS Administrator is a general office administrator role for the Court of Appeal that is responsible for several key business areas in an organization of approximately 70 staff members. The Court of Appeal maintains two offices in the province: one in Edmonton and one in Calgary.

As an Office Facility and OHS Admininstrator, you are responsible for the following:

- resolving facility management issues
- all telecommunications services (landline, VOIP and cellular)
- completing administrative human resources (HR) tasks
- tending to all occupational health and safety (OHS) issues and requirements
- financial tasks such as;
- as expenditure officer; reviewing, verifying, and pre-approving accounts payable, expense claims, procurement card transactions, and invoices, ensuring compliance and providing assistance, information and advice on corrective actions
- as procurement card holder; ordering office supplies and publications and making travel arrangements, and providing guidance to others with respect to these processes
- preparing purchase orders and resolving any discrepancies
- maintaining all documents in the records management system for retrieval
- participating on various committees and acting as secretary as required, ensuring that all official records are properly maintained
- providing comprehensive administrative and clerical support in all aspects of the operation (e.g., maintaining an effective bring-forward system to ensure all deadlines are met, updating documents, drafting communications, planning and coordinating meetings and preparing meeting materials and minutes, managing calendars and maintaining a comprehensive filing system
- acting as main backup to the Office Adminstrator.

This position interacts daily with the judiciary, staff and government officials including representatives from pay and benefits, human resources, Alberta Infrastructure, OHS, other Court managers and supervisors and representatives from other government departments.The accuracy and reliability of the facility, telecommunications, human resource, occupational health and safety, financial tasks, and 1GX information given, directly affects the operation of the Court and is relied on by people leaders and staff alike.
- have exceptional organizational, time management, analytical and problem-solving skills
- have advanced proficiency with Microsoft Office, including Outlook, Excel, Word
- have excellent written and oral communication skills. Maturity, tact and professionalism are required when dealing with the judiciary, legal professionals, court staff, interfacing agencies and the general public
- have excellent interpersonal skills
- are self-motivated and able to work in a fast-paced environment with little supervision
- are able to maintain strict confidentiality as this position sees information regarding other bargaining unit and management contract employee positions on a regular basis
- have the ability to meet strict deadlines and tight schedules.

**Qualifications**:
A High School Diploma and a minimum of three years of directly related experience are required.

Equivalency: Directly related education or experience considered on the basis of: one year of education for one year of experience or one year of experience for one year of education.

Assets:

- A diploma or degree in a related field (e.g., business administration, HR, finance, OHS, legal or administrative assistant).
- Experience working in a government environment.
- Experience working in at least three of the four related areas (HR, finance, office administration, facilities).
