Job Title: Executive Assistant
Position Type: Contract (12 - 14 Months)
Location: Mississauga
What We’re Looking For:
Our people are our most important resource. We seek a high-energy and self-motivated executive assistant for the chief operating officer (COO), who will provide dedicated assistance for his day-to-day operations and business management. This individual will be a high-impact team member with outstanding communication, organizational and interpersonal skills and will confidently complete tasks professionally.
This role involves diversified and highly confidential information that should be dealt with with a high degree of accuracy. The Executive Assistant will be involved with complex duties of an executive administrative nature relating to the daily routine and relationship management. We are looking for a high-energy, motivated individual who shows great pride in what they do, has solid organizational skills and has an excellent eye for detail. Having the ability to work under pressure is a must. You must be proactive and think 10 steps ahead, constantly seeking out areas of improvement and working to find solutions.

What You’ll Do:
- Provides executive assistance to the COO, ensuring needs are proactively identified.- Responsible for supporting the COO's daily activities, including proactive and extensive calendar management, scheduling all meetings, coordinating visits with internal/external contacts, and booking appointments.- Ensuring the COO is briefed before meetings and that his day is on track and running according to schedule.- Manage assorted projects that the COO is working on and execute them with a high level of detail.- Routinely following up with respective departments on the status of actions.- Manages and books travel arrangements, ensures necessary tickets and itineraries are booked in ample time to departure, and that required correspondence and comprehensive documentation are prepared.- Manages the business expenses ensuring submissions are presented for approval when required.- Responsible for ensuring suitable meeting rooms are selected and manages the logistics e.g., room arrangements, attendance, invitations, audio visual and electronic equipment, catering needs, etc.- Carry out diverse and personal requests and ensure ad hoc requests are completed in a timely manner.- Build and maintain excellent professional relationships with colleagues and external clients.- Prepare and coordinate meeting agendas, meeting minutes, develop and monitor action items and follow-up on outstanding items.- Act as a liaison for COO’s direct reports.- Assist in the coordination and production of Town Halls and broadcasts.- Organize, lead and execute team activities and internal/department events with an extremely high level of detail and organization.- Serve as a brand ambassador of SOTI and provide a best-in-class experience for those interacting with the office of the COO.- Maintain organizational charts and vacations.- Assist with any special projects and/or personal tasks as required.
Experience You’ll Bring:
- Comprehensive experience supporting a C-Suite Executive in a fast-paced environment with multiple demands and changing priorities.- A self-starter with a high degree of initiative and a can-do attitude, jump into any project and lend a hand with a high energy and positive attitude especially during stressful periods.- Experience with executive-level calendar management.- Experience with domestic and international travel coordination.- Demonstrated ability to perform well under pressure and prioritize assignments.- Ability to organize and lead events with an extremely high level of detail and organization.- Discretion, tact and understanding of the importance of maintaining strict confidentiality.- Ability to manage their own time well.- Ability to multi-task and prioritize workload to meet deadlines.- Ability to work efficiently and accurately with mínimal supervision.- Strong problem-solving and interpersonal skills and resourceful in working with others.- Strong technical competence in MS Office - Outlook, Word, Excel, and PowerPoint.- High degree of client focus with a service-oriented attitude.- Demonstrated ability to perform well under pressure and prioritize assignments.- Passion for modern technology.- Excellent verbal and written communication skills.- Ability to manage multiple projects and tasks at a given time and deliver in a timely fashion.- Flexibility with a working schedule is required, with the ability to respond to out-of-hours requests.
