The role of the Facility Services Administrative Assistant is to coordinate resources and provide administrative support to the Facilities Department. The Facility Services Administrative Assistant acts as the main point of contact for School Administration in providing information and gathering feedback related to Facilities. Reporting to the Director of Facilities, this role contributes in all day-to-day operations to ensure an effective and responsive service delivery.

The Facility Services Administrative Assistant must carry out professional responsibilities and provide services in accordance with Sturgeon Public School Division policies, ensuring that these activities are within the limits of their knowledge, experience and skill. This position is responsible for working with staff and external vendors.

Duties of this role include but are not limited to:

- Maintain information and assist with planning, tracking, and reporting on the Infrastructure Management Program and Capital Maintenance Renewal Programs
- Ensure school utilization plans are accurate, updated and submitted
- Coordinate updating of all maps in Hour Zero
- Maintain and monitor day-to-day operations through the work order system
- Respond to emergent requests as required
- Coordinate the security systems, including the alarm company and camera system, ensuring matters are promptly resolved
- Provide multi-faceted administrative support to the Facilities Department
- Maintain accurate records for the Department
- Maintain the Department invoices and budget
- Code and reconcile vendor purchases
- Prepare journal entries for Facility related purchases
- Maintain accurate and current contact information for key stakeholders
- Coordinate supplies including ordering, inventory control and disbursement for the Department
- Review Facility employee attendance
- Draft, manage and share correspondence, reports, data, and other documents as directed
- Assist managing and tracking the custodian staff, inventory and ordering system

**Salary**:$3,777.79 - $4,620.01 per month, benefits and pension as per General Employment Conditions.
