Job Summary:
As the Executive Assistant, you will provide administrative support services to the CFO who is responsible for Central 1’s finance function and comprised of Accounting & Financial Reporting, Financial Planning & Analysis, Procurement, and provides administrative leadership to the Audit team and the Finance and Disclosure Committees.

*1-2 days in office is needed*

What you'll be doing:

- Organizing the Committee meetings and preparing/ distributing meeting materials and taking minutes.
- Supporting the CFO by establishing administrative systems and processes to ensure effective and efficient organization.
- Able to assesses current and emerging issues/ priorities and provide feedback and recommendations regarding the management of high profile, urgent or sensitive matters.
- Facilitates the delegation of issues and projects to senior leaders in Finance and other Central 1 staff.
- Provides the CFO’s perspective with respect to departmental decisions that must be made when the CFO is unavailable.
- Manages the CFO’s correspondence and handles sensitive and confidential information.
- Researches and creates letters, memos and presentation materials for the CFO’s review and composes routine correspondence.
- Researches and analyzes findings, prepares summaries, briefing notes, discussion papers, reports, and presentations.
- Works effectively with internal stakeholders to support the onboarding of new hires to the Senior Finance leaders.
- Ensures departmental filing systems are maintained.
- Handles administrative documentation and forms in accordance with established procedures and deadlines for couriers, expense reports and signing authorities.
- Handles preliminary departmental budget in conjunction with the Finance Business Partner.
- Monitoring expenses, analyzes monthly variances, resolves discrepancies with the Controller’s department and advises the CFO of any concerns.
- Assigns expenses to cost centres and authorizes payment of invoices within approved spending limits.
- Prepares and processes expense claims, invoices, purchase orders and other financial items and maintains related records.
- Solicits quotes for required materials and printing, and coordinates procurement and delivery with external service providers and vendors.
- Schedules departmental and internal Committee meetings.
- Drafts agendas, distributes meeting materials, sets-up webinars and makes arrangements for meeting rooms, catering and equipment as required.
- Fosters productive working relationships internally within Central 1 and with a broad variety of external stakeholders in order to exchange information and to support the CFO in accomplishing departmental objectives.

What you'll have:

- Community College diploma in business administration or related discipline, or an equivalent combination of education and experience.
- 5+ years of related experience working with senior executive level management in a large scale administrative and business environment.
- Ability to anticipate the needs of senior leaders and the department(s), and plan and manage multiple activities, issues, and projects.
- Ability to speak on behalf of Senior Finance leaders when unavailable for consultation and make effective decisions.
- Excellent oral and written communication, customer service and interpersonal skills.
- Readily takes on challenges or difficult tasks and has reputation for delivering on commitments.
- Plans and prioritizes work to meet commitments aligned with organizational goals.
- Works without supervision and provides technical guidance when required on developing appropriate plans and performing necessary actions based on recommendations and requirements.
