**Administrative Assistant**
**Position Description**

**The Position**

The Manitoba Physiotherapy Association provides a voice for the physiotherapy profession in Manitoba. The association represents the profession for advocacy, health promotion to the public, negotiating fees schedules and support for continuing education.

This position is part time on a contract basis with approx. 24 hours per week - schedule to be planned with the Executive Director

**Key Responsibilities**

Administration/Reception
- Receive mail, distribute and respond to routine enquiries
- Make travel and hotel arrangements for staff and volunteers
- Maintain promotional equipment and arrange for the use in the community
- Maintain the filing system, paper and electronic copies. Ensure historic documentation is maintained as required by Revenue Canada.

Communications
- Maintain Mailchimp databases and send weekly e-blasts to members along with ad hoc messages to special groups such as the Clinic owners/Admins

Website Administration
- Support the Find a Physiotherapist service by liaising with Clinics to set up profiles and ensure search features are functioning - work with developers to enhance and maintain service.
- Maintain a membership directory using the national office’s program - provide confirmation of membership upon request.
- Manage purchases of Jobs and Course advertising space on the website and ensure ads are posted/removed on website on timely basis including the invoicing and receipting of credit card payments via POS and online transactions.
- Manage course registration, early bird prizes, withdrawal refunds and ensure financial reports are complete for the PD committee.

Bookkeeping
- Prepare deposits to accounts and process all payments for vendor invoices
- Reconcile outstanding account receivables and payables
- Using QuickBooks, develop and maintain files for financial tracking and prepare reports for the Treasurer and ED to present at monthly board meetings

Professional Development
- Liaise with the PD committee reps to reimburse course instructors, prepare required forms, name tags, etc.

Awards

AGM
- Solicit sponsors for the Annual General Meeting

**Responsible to**: Executive Director

**Qualifications**:
Knowledge and exposure to health care clinic and healthcare systems would be an asset.
Minimum 3- 5 years experience in office management or a business-related certificate with strong expertise in word processing, bookkeeping using Quickbooks, MS Excel, and web administration. Strong interpersonal and written communication skills are imperative. Able to work independently on a flexible schedule and exercise good judgement.
