**About this role**
We are recruiting for a **Division Coordinator** to join our **Victoria** office. Here's how your role will strengthen our team.
**Your responsibilities**
- Provide administrative support to the Division, Managers, and Project Manager/Estimators with a variety of tasks including processing monthly billings, supporting procurement pricing, preparing job binders and organizing documents to ensure paper flow (permits, manuals, and tender forms)
- Assist with tenders, such as lighting/device counts, including tender submittals and IFC to Bid review's
- Ensure proper user set-up and access in Procore project management system
- Data entry and updating project management systems/CRM with information
- Ensure the site has all the latest specs, shop drawings, change orders, and schedules
- Update project drawings, purchase orders and job schedule with the change orders
- Organize and track shop drawings, distributing as needed
- Price, extend, confirm hours submitted and enter data required for extra work orders
- Track shipments for orders, track backorders, and keep on top of suppliers for delivery of materials
- Print and circulate a variety of reports associated to the project
- Assist in division estimating and staff resource schedules
- Attend site meetings and site walks to record and produce minutes
**Your experience and skills**
- High School Diploma
- 3+ years of experience in project coordination, administration or office related position within the construction or related field
- High proficiency in MS Office (Excel, Word, Outlook)
- Experience managing document control, file management, scheduling, data entry, minute taking
- Highly organized and attentive to detail in a fast-paced environment
- Must be team player with good interpersonal and English communication skills
- Able to read electrical and/or construction drawings, an asset
- Experience with AutoCAD, Accubid, MS Project, Procore are an asset
- Electrical engineering degree, diploma, relevant education or Electrician TQ considered an asset
